JOB SUMMARY

This position, under general supervision of the Business and Finance Office, will perform grants management and accounting tasks for sponsored programs using established methods and procedures. This class works within a general outline of work to be performed and develops work methods and sequences under general supervision.

ESSENTIAL JOB FUNCTIONS :

  • Develops timelines for the submission and the preparation of invoices.
  • Reviews grant awards to ensure all grant personnel are appropriately charged to the correct program(s); maintains and monitors budget files, and send alerts to program directors on spending and account balances.
  • Assists in tracking time and effort reporting and sends alerts and notifications to grant personnel on due dates and timely submissions.
  • Assists with the closeout of grants to ensure all aspects of closeout processes are met.
  • Establishes and monitors budgets for sponsored programs to ensure that expenditures are within the guidelines of the grant award.
  • Distributes monthly budget reports to program directors and reviews as needed.
  • Communicates periodically with principal investigators on program related issues.
  • Performs G / L accounting functions to include implementing and processing required journals and adjusting entries and account reconciliations that affects sponsored programs.
  • Assists in the overall management of grants throughout the lifecycle of the grant award to closeout.
  • Prepares and records journal entries to record Other Staff Benefits.
  • Works closely with the Sponsored Programs and Research offices in compiling, updating, and tracking all grants awarded to the College and developing databases.
  • Assists the grant accounting office in setting up budgets for Sponsored Programs.
  • Maintains a log on all drawdowns and reconciles monthly.
  • Must have good technology and budget management skills and be proficient in Excel.
  • Performs related duties as required.

MINIMUM REQUIREMENTS TO PERFORM WORK :

  • Bachelor’s degree in accounting or closely related field.
  • Two (2) years of progressively responsible accounting experience preferably in grants management.
  • Must have good technology and budget management skills and be proficient in Excel.
  • Must be proficient in Microsoft Office Suite, utilizing Outlook, Word, Excel, PowerPoint and Microsoft Teams.

  • Ability to communicate effectively and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to work independently, meet deadlines and coordinate multiple projects simultaneously.
  • Ability to work well under pressure.
  • Good organizational skills; good verbal and written communication skills.
  • Reliable, punctual, and a strong work ethic.
  • PHYSICAL DEMANDS :

    Requires sedentary work that involves walking, standing, lifting, carrying, pushing and pulling some of the time. Requires the ability to lift up to 50 pounds and the ability to exert up to 10 pounds of force on a recurring basis or routine keyboard operations.

    WORKING CONDITIONS :

    Work environment risks exposure to no known environmental hazards.
