Delavan Holdings is seeking a highly organized and customer-focused Guest Services Specialist to join our team. This role is crucial in ensuring the smooth operation of our office environment and maintaining a professional atmosphere. The ideal candidate will possess excellent communication skills, strong organizational abilities, and the capacity to handle multiple responsibilities efficiently.
Key Responsibilities :
Reception and Customer Service :
- Answer and direct incoming phone calls promptly and professionally.
- Greet employees, guests, and vendors, ensuring a positive and welcoming experience.
- Address inquiries or direct them to the appropriate department.
Human Resources :
Perform general HR duties.Handle confidential information with discretion.Facility and Conference Room Management :
Ensure conference rooms are clean, organized, and fully stocked with necessary supplies.Coordinate with staff to prepare conference rooms for meetings, including arranging seating, technology setup, and ordering lunch when needed.Communication and Collaboration :
Serve as a central point of contact for internal and external communications.Collaborate with other departments to support daily operations and special events and meetings.Administrative Support :
Manage and update the Google Calendar, including scheduling and organizing conference room bookings.Monitor and maintain compliance with the National Do Not Call list.Provide general administrative support to other departments as needed.Food Truck Coordination :
Schedule and communicate with food trucks to ensure a variety of meal options for staff.Create and share a schedule of food truck visits with employees.Kitchen and Coffee Area Maintenance :
Restock the kitchen with supplies such as creamers, coffee, tea, utensils, and other essentials.Communicate with Jean regarding what supplies are needed.Maintain cleanliness and organization of the kitchen and coffee areas.Requirements :
