This is an administrative position within the Division of Plant Industry Personnel Office, which is responsible for recruitment, benefits, classification, time and attendance, and records.
Recruitment : Tracks vacancies and recruitment status of assigned positions with accurate and timely updates to the Vacancy Report. Assists in the development of requisitions for hiring. Answers supervisor questions and assist them through process, as needed. Organizes, reviews, and corrects discrepancies or errors within the hire recommendations. Checks for compliance with applicable laws and policies. Verifies licensure, education, and experience history. Routes for approval. Communicates approval notices and coordinates effective dates. Recruits at career fairs and engages with the public through positive and informative interactions.
Onboarding : Enters all Division employees in agency databases in preparation for hire date. Conducts new employee sign-up meetings. Ensures new hire documentation is complete and creates employee files from documents received. Uses I-9 form, supplied identification and employment authorization documents, and E-Verify to confirm employment eligibility. Explains forms, basic policies and procedures, benefits, and other resources to the new or transferring employee.
Classification Action Requests : Requests or processes position transactions in People First including position establishment, reclassification, organization changes, funding changes, other related updates, and abolishment for assigned positions. Maintains records in support of position changes. Time and Attendance and Payroll Records : Ensures that all timesheets have been submitted. Audits timesheets for errors related to Leave Without Pay, office closures, and holidays, then follows up with supervisors and management as needed. Reconciles timesheets and time and attendance reports to bi-weekly and supplemental payrolls. Reconciles potential overtime hours reported and follows up with supervisors. Answers Time and Attendance questions. Provides status reports and escalates Personnel matters to supervisor, as necessary.
Personnel Action Requests : Receives and processes all Personnel Action Requests (PARs) for assigned OPS employees. Creates and acts upon approved PARs to implement OPS hires, promotions, pay changes, reassignments, and separations in People First. Ensures accurate and timely processing of information in Human Resource Information System for Career Service and Selected Exempt Service actions, following up as necessary.
Related Duties : Performs other related duties as directed by management. Contributes to teamwork within office by seeking out additional tasks / projects, as workload permits.
Knowledge, Skills, and Abilities : Knowledge in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). Knowledge of recruitment practices. Skill in recording, completing, and maintaining accurate records. Skill in performing basic math and professional business correspondence. Skill in paying attention to details. Skill in creating and maintaining effective working relationships with others. Ability to work individually and as part of a team. Ability to organize many tasks simultaneously and to follow through on completing tasks within defined timelines. Ability to file documents in a timely and accurate manner. Ability to communicate effectively, both verbally and in writing. Ability to take initiative and negotiate. Ability to maintain confidentiality. Ability to lift and transport 25 lbs.
