Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our HVAC wholesale office. This individual will provide critical support across multiple business functions, including reporting, pricing, purchasing, and document preparation. The ideal candidate is proactive, adaptable, and capable of managing a variety of administrative tasks in a fast-paced environment.

Key Responsibilities

  • Report Preparation : Compile, format, and distribute reports for various business segments to support decision-making.
  • Department Support : Assist the Pricing and Purchasing department with day-to-day processes, data entry, and special projects.
  • Document Creation & Management : Prepare and edit catalogs, charts, presentations, and other business documents using Microsoft Office and Adobe software.
  • General Administrative Duties : Support office operations by maintaining records, handling communications, and coordinating with internal teams as needed.

Qualifications

  • Strong Organization & Time Management Skills – Ability to prioritize tasks and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite – Word, PowerPoint, Outlook, and especially Excel with strong formula and data analysis skills.
  • Technical Skills in Adobe Software – Acrobat, InDesign, and Photoshop (training will be provided if needed).
  • Attention to Detail – Strong proofreading, formatting, and document-quality assurance abilities.
  • Communication Skills – Clear written and verbal communication for internal collaboration.

  • Experience in an office, distribution, or wholesale environment.
  • Ability to work independently and as part of a team.
  • A proactive mindset with a willingness to learn new processes and software.
