Data Entry Associate
The Data Entry Associate is an entry-level role primarily responsible for accurately entering and maintaining warranty-related data, while providing support across operational areas as needed. This role is ideal for individuals who are detail-oriented, organized, and eager to learn, helping ensure smooth warranty processes, accurate records, and excellent customer support.
Key Responsibilities :
- Maintain communication with VP of Operations, Regional Managers, Branch and Warehouse Managers, sales staff, vendors, and Johnstone Corp personnel regarding purchasing and inventory matters.
- Enter, update, and maintain warranty and service data in internal systems.
- Process warranty claims with vendors, including research, follow-up, and ensuring credits or replacement parts are issued.
- Assist with in-warranty and out-of-warranty repairs, extended parts / labor contracts, and discounted equipment (scratch & dent).
- Maintain detailed records of service inquiries, warranty claims, and customer interactions.
- Stay current on HVAC technologies, products, codes, and industry best practices.
- Schedule, track, and report progress on purchasing, warranty, and technical processes.
- Attend internal meetings, training sessions, and professional development opportunities.
- Rotate between departments to provide operational assistance and gain functional knowledge.
- Perform additional duties as assigned by management.
Requirements :
High school diploma or equivalent.0 -2 years of relevant experience in warranty coordination, data entry, or administrative support.Proficiency in Microsoft Office (Word, Excel, Outlook).Strong attention to detail, organizational skills, and willingness to learn.Ability to work independently and within a team environment.Physical Demands & Work Environment :
Work is primarily in an office environment with phone and computer use, with occasional travel to branch locations.Ability to sit for extended periods.
