Program Coordinator
Guided by the Washington MESA Logic Model, this role supports a cohort of approximately 100 students annually through four core pillars : academic support, career development, experiential learning, and transfer assistance. In partnership with CWAHEC, the program expands access to STEM and healthcare career pathways, aligning with Wenatchee Valley College's mission to prepare students for living-wage careers and long-term success.
The program coordinator plays a central role in implementing MESA and CWAHEC initiatives. Reporting to the MESA Program Director and collaborating with the CWAHEC Director, the coordinator ensures smooth daily operations of the MESA Center, supports student success, and maintains program compliance. Responsibilities include logistics management, outreach and recruitment, data reporting, and student engagement coordination. The role blends operational oversight with data-informed decision-making to promote equity, degree completion, and workforce development, helping establish Wenatchee Valley College as a statewide leader in educational equity and innovation.
Program Administration for MESA and CWAHEC, Student Success support and MESA Center Oversight. (40%)
- Oversee daily operations of the MESA Center, including facility access, snack station upkeep, and space organization to promote student well-being.
- Manage inventory systems for learning tools, and event supplies (e.g., textbooks, lab materials, technology), including check-out processes and restocking.
- Coordinate supply and event-related purchases, reconcile card transactions, and arrange meals and refreshments for MESA and CWAHEC events.
- Plan and reserve spaces for workshops, meetings, and student activities in alignment with annual goals.
- Process student travel authorizations and coordinate logistics for field trips, conferences, trainings, and university visits.
- Improve student documentation workflows to enhance program evaluation and continuous improvement.
- Connect students with tutoring, mentoring, career services, internships, research opportunities, and educational trips.
Outreach and Recruitment Coordination. (40%)
Lead strategic outreach efforts targeting eligible STEM / CWAHEC-WVC students, in collaboration with MESA Ambassadors, leadership peers, and other campus teams.Support planning and execution of events such as MESA Day, transfer fairs, guest speaker sessions, and CWAHEC pathway activities at local, state, and national levels.Manage MESA's and CWAHEC's digital presence through social media and coordinate with the Public Information Office (PIO) to enhance visibility.Assist with logistics and supervision of MESA and CWAHEC student engagement activities.Promote student participation in MESA and CWAHEC activities, track engagement benchmarks, and follow up to meet state-mandated performance indicators.Data reporting and monitoring progress (20%)
Submit weekly student engagement data to the WA MESA State Office and maintain organized records for both programs.Track attendance, sign-ins, and form completion for CWAHEC events to ensure compliance and accurate documentation.Manage and update program databases, including activating / inactivating student records and maintaining filing systems.Minimum Qualifications :
Associate degree from an accredited institution.Minimum of two years of experience in customer service or administrative support.Proficiency in Microsoft Excel and data entry systems.Or, if you do not meet one or more of qualifications listed above but have an applicable combination of education and experience which demonstrates the ability to perform the essential functions of the position.Preferred Qualifications :
Experience creating digital content (such as Word / PDF documents and web and learning management system content as appropriate to the role) in accessible formats.Bilingual to Spanish and English.Knowledge, Skills, & Abilities :

The current vacancy is full-time, temporary, grant-funded, overtime and benefit eligible exempt position expected to begin as soon as possible. The position is currently funded through 12 months. The annual salary hiring range for this position is $46,080$48,324. Individual placement within the hiring range is based on the candidate's current experience, education, skills, and abilities related to the position. The salary will be prorated to reflect the actual number of contract days worked in the remainder of the fiscal year.

Work Schedule & Environment :
Normal work hours are Monday through Friday, 8 : 00 a.m.-5 p.m. (1 hour lunch).Work is performed on campus in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk / computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create / maintain filing systems for departmental records.
