  • The Bilingual Clinical Scheduling Assistant plays a pivotal role in ensuring seamless patient care and clinic efficiency.
  • By optimizing scheduling through advanced communication and engagement with both staff and patients, this role significantly enhances the accessibility of healthcare services at Legacy.
  • You'll work in a dynamic environment where your expertise will help to transform patient experiences, fostering a more health-conscious community.
  • Key Responsibilities Collaborate with Front Desk staff, Lead Medical Assistants (MA), Clinical teams, and Care Team Assistants (CTA) to monitor and enhance clinic flow and optimize provider schedules in real-time.
  • Coordinate and communicate effectively across teams and with patients to ensure adherence to scheduling guidelines while optimizing day-to-day and real-time scheduling practices.
  • Identify and resolve scheduling discrepancies, elevating recurrent issues to the designated individuals and making necessary adjustments to patient schedules.
  • Efficiently schedule appointments using established lists for same-day or next-day needs, as well as wait lists for new and established patients in specialized areas such as HIV and Chronic Disease Management.
  • Act as a liaison with Site Leadership for resource management, maintaining rosters of available per diem, locum tenens, and alternative providers.
  • Facilitate the scheduling of walk-in patients, including newborns, ensuring expedited care where necessary.
  • Serve as the primary contact for the Contact Center team to coordinate same-day patient visit integration.
  • Support the team by assisting with appointment reminder calls, managing portal messages, and updating patient registration data as required.
  • Engage in ongoing training sessions to assimilate new techniques and procedures swiftly, contributing to continuous process enhancement.
  • Embody the value of adaptive learning and flexibly perform additional duties as delegated.
  • Qualifications A High School Diploma is required.
  • Certification as a Medical Assistant or completion of EHRS medical documentation training is essential.
  • Must possess and maintain current BLS / CPR certification.
