We are a small, detail-oriented law firm that has been part of the West Michigan community for over 100 years. We value integrity, intellectual engagement, and an environment committed to excellence. Our team is personable yet professional, and we pride ourselves on delivering high-quality legal services in Estate Planning, Probate, Litigation, and Business Law. We’re looking for someone who is proactive, organized, and enjoys working in a structured environment where follow-through and accuracy are key.

Position Overview

This role combines legal assistant responsibilities with office administration. You’ll be supporting attorneys with document preparation, client communications, and administrative operations that keep the firm running smoothly.

Key Responsibilities

  • Prepare standard legal documents including court filings, stock certificates, and estate planning forms
  • Transcribe dictation and draft professional correspondence
  • Electronically file pleadings with Michigan and Federal Courts
  • Access and retrieve documents from government portals (Access Kent, LARA, PACER, etc.)
  • Manage daily mail, including handling incoming checks
  • Provide front desk support one day per week : answering phones and greeting clients
  • Prepare monthly invoices for attorneys
  • Oversee office management tasks :
  • Coordinate IT support and troubleshoot basic tech issues
  • Manage VOIP phone system (e.g., Zoom)
  • Organize company events and manage subscriptions
  • Perform light office cleaning and upkeep

Required Skills & Experience

  • Minimum 1 year experience as a Legal Assistant or Secretary
  • Minimum 1 year experience in Office Management
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, SharePoint, OneDrive)
  • Excellent written communication skills
  • High attention to detail and ability to multitask effectively
  • Ability to shift between tasks and projects with accuracy and efficiency
  • Preferred Experience

  • Background in Estate Planning, Probate, Litigation, or Business Law
  • Knowledge of Michigan and Federal court systems and e-filing procedures
  • Familiarity with Excel, WordPerfect, and probate document assembly software
  • Experience with CLIO or similar legal billing / client management software
  • Preferred Work Hours : Mon-Thur. 8 : 30-4 : 30 (28 hours a week)
