Receptionist

The Receptionist serves as the first point of contact for patients, families, and visitors at our mental health practice. This role is responsible for creating a welcoming, professional environment while handling a wide variety of front desk, scheduling, and administrative tasks. The Receptionist supports clinicians and staff by ensuring efficient office operations and maintaining confidentiality in compliance with HIPAA and company policies.

Duties / Responsibilities

  • Greet patients, families, and visitors with professionalism and empathy.
  • Answer and direct phone calls, respond to inquiries, and take accurate messages.
  • Schedule, confirm, and update patient appointments in the electronic health record (EHR) system.
  • Verify insurance eligibility and collect co-pays or outstanding balances at check-in.
  • Assist patients with completing intake forms and required documentation.
  • Maintain patient confidentiality in all communications and recordkeeping.
  • Manage incoming and outgoing mail, faxes, and electronic communications.
  • Provide administrative support to clinicians, including scanning / uploading documents and preparing forms.
  • Monitor and maintain the front office, ensuring a clean and welcoming environment.
  • Follow procedures for patient emergencies, safety, and crisis situations by alerting appropriate staff.
  • Perform other clerical duties as assigned (filing, ordering supplies, copying, etc.).

Qualifications / Experience

  • High school diploma or equivalent required; some college preferred.
  • Prior experience in a healthcare or behavioral health office strongly preferred.
  • Excellent communication and interpersonal skills; ability to remain calm, compassionate, and professional.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office and comfortable using electronic health records (EHR).
  • Ability to handle confidential information in compliance with HIPAA.
  • Dependable, flexible, and able to multitask in a fast-paced environment.
  • Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional lifting of up to 20 lbs. (files, supplies).
  • Ability to remain composed in sensitive or emotionally charged situations.
  • Use of personal protective equipment (PPE) as required.
