Title Administrator

SUMMARY :
The Title Administrator's primary duty is to help prepare and process new loans, service existing loans, and ensure all equipment titles and uniform commercial code (UCC) are created and filed with accurate lien holder information. The position delivers excellent customer service to clients, brokers, and borrowers alike when communicating via phone, email, text, or in-person while handling title / UCC paperwork, including e-titles, and resolving processing problems. Interaction with motor vehicle departments and / or title agencies is a near daily occurrence. Secondary duties include back-up to GPS Coordinator, scanning and indexing titles & UCC info, checking data for accuracy, and performing monthly balance and reconciliation of the Title Funds account. The position is assigned to the Titles & UCC Department and works closely with the Documents & Funding staff. Efficient operations and the skill and ability to work independently and as part of a team are needed in this quick-paced position. Work crosses multiple time zones and productivity goals are required.
RESPONSIBILITIES :
- Quality check loan folder contents for accuracy and errors; make any necessary corrections.
- Send Title Package to state Department of Motor Vehicles (DMV) and log info in tracker sheet; verify title paperwork for originals, update loan database system, and inform the client / borrower.
- Process new loan titles, and maintain and report Title Exceptions (TE) weekly; adhere to established Protocol / practices and reduce number of TEs on the list.
- Create and submit UCCs as needed on equipment with Serial Numbers and (by exception) Vehicle Identification Numbers; check online database for continuations and expirations.
- Check accuracy of data entered in the loan databases and make updates / corrections as needed.
- Scan and index title paperwork into online folder system.
- Balance and reconcile the Title Fees checking account monthly; ensure and maintain an accurate register and funds availability.
- Send and / or request titles from state DMVs, dealers / brokers, title agencies, and borrowers; check online VINTEK daily, update the backend data system, and send Lien Release / Thanks letters.
- Coordinate GPS installation, verify installation address and contact information, activate / assign GPS unit on PassTime website. Coordinate / track shipping, and if required coordinate with third-party installer, verify GPS installation, ping unit and printout location map and forward to Docs & Funding.
- Perform all other duties of a similar nature or level as assigned.
REQUIREMENTS :
Minimum Qualifications :
High School diploma or equivalent.One year of full-time work experience in an administrative office or clerical support position.One year of telephonic Customer Service work experience desired, preferably in a titles or loan area.Educational background in titles processing or equivalent obtained through practical experience.Must possess strong administrative and organizational skills.Must have the ability to work successfully in a high-demand, fast-moving environment.Must be assertive and possess sound decision-making ability.Competent keyboarding and computer use skills.Previous software experience / skill in Microsoft applications (e.g. Word, Excel, and Outlook) is a plus.Effective oral and written communication skills (including telephone).Self-sufficient / self-starting.General areas of competency : dependability, personal development, workplace safety, evaluation and interpersonal skills, prioritization, problem-solving, teamwork, and time management.Demonstrated aptitude to handle sensitive financial transactions and customer relationships.Professional dress and appearance.Must be capable of working with and maintaining the confidentiality of sensitive information.Must possess skill and ability to establish and maintain harmonious working relationships with customers, co-workers, and supervisors.Physical Requirements :
