Executive Coordinator – Corporate Office Support

Job Description

Summary / Objective

We are seeking a proactive and detail-oriented Executive Coordinator to support our executive team and ensure the smooth operation of our corporate office. This part-time, on-site position is integral to maintaining an organized, efficient, and professional environment. The ideal candidate will be adept at managing administrative tasks, coordinating company activities, and handling errands with discretion and efficiency.

Essential Functions

  • Ensure the office space is clean, tidy and organized.
  • Manage office supplies inventory.
  • Coordinate maintenance and repair of office equipment and facility.
  • Plan and execute company events, meetings, and training sessions.
  • Coordinate logistics for internal and external events, including travel arrangements and accommodations.
  • Run business-related errands, such as mailing documents, purchasing supplies, and other tasks as assigned.
  • Liaise with vendors, clients, and partners to coordinate activities and services.
  • Triage and manage incoming and outcoming corporate mail.
  • Other duties as required.

  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Skilled in identifying solutions and implementing improvements.

  • Education and Experience

  • High school or Associate's degree in Business Administration, Office Management, or a related field.
  • 2+ years of experience in an administrative or executive assistant role.
  • Demonstrated discretion and confidentiality in handling sensitive information.
  • Understanding of office management procedures and systems.
  • Preferred Education and Experience

  • Prior experience in a government contracting, defense, or aerospace environment is preferred.
  • Work Environment, Programs, and Tools

    This position operates in a remote / office environment and requires individual to walk, stand, sit, use hands / fingers to type, talk, listening and look. Required knowledge of the following tools, equipment, and programs includes laptop, phone, scanner / printer / fax, and Microsoft Office suite.

    Position Type / Expected Hours of Work

    This position will be located at our corporate location in Tallahassee, FL and will require adherence to corporate core hours. The Tallahassee corporate office location is a hybrid location and may require the individual be in-office up to 3 times per workweek. This position is a part-time non-exempt position, expected to work less than 29 hours per week. This position may require evening / weekend work and work outside of the normal hours of operations when needed to support corporate or program needs.

    Travel

    Significant travel around town may be expected. Examples include picking up supplies, ordering material, traveling between home and corporate offices, etc. Other travel consisting of 2-5 days supporting program meetings or business development events may be expected.

    A valid driver's license and access to a reliable vehicle is required. The company will provide mileage reimbursement for travel.

    No clearance is required.
