Brief Summary of Job Duties :

Manages full-service Cashiering Office and assists in oversight of daily operations of other business services as needed. Supervises student employees and daily operations. Maintains adequate cash security measures in accordance with A.S. and University internal control standards. Audits daily records of receipts, tracks change funds and daily sales summaries. Coordinates AS Publications sales and inventories, ticket sales, inventory and settlement and ensures adequate controls are maintained on cash equivalents throughout the Cashier's Office. Prints statistical reports concerning receipts, deposits, and loans. Select, train and supervise student cashiers and student managers.

Qualifications :

Required Qualifications :

  • Bachelor's Degree or equivalent experience.
  • Experience working in a service-oriented, customer service role.
  • 1-3 years experience cash handling and strong math aptitude.
  • 1-3 years merchandise / ticket sales experience.
  • 1-3 years experience with axs ticketing software or any other ticketing software.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff and faculty verbally and in writing.
  • Strong attention to detail.
  • Ability to interpret policy, particularly University Policy on cash handling and cash equivalents.
  • Solid communication skills and interpersonal skills to communicate effectively with students and staff verbally and in writing.
  • Understands the fundamentals of excellent customer service.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use sound judgment in responding to issues and concerns.

    Job Functions and Percentages of Time :

  • 35% Shopkeeper and Cashier Coordinator - Accountable for controlling all cash and other assets handled by the Cashier's office. Prepares daily bank deposit of Associated Students' receipts in excess of $7 million annually. Maintains proper documentation for all fiscal transactions in compliance with audit requirements. Ensures that strict compliance with University Policy on Campus Cashiering and Associated Students internal controls is maintained at all times. Reviews set processes and develops procedures when new policy and regulation changes are implemented. Monitors results to ensure desired outcome. Assesses and manages risk within cashiering operations and recommends improvements to improve internal controls. Prepares change funds for A. S. enterprises, tracks vault and ticket office change funds, prepares daily accounting of receipts for A. S. Cashiers and Ticket Office programming, cash registers and completing daily sales summary. Responsible for closing events and ensuring departments receive their funds for the events ticketed throughout the school year. Responsible for the safekeeping and auditing of all change funds on a regular (minimum weekly) basis. Uses Point of Sales system to provide reports for daily and weekly auditing of ticket sales. Oversees daily deposit reports required for the A.S. Bike Shop, AS Food Bank, AS Media, and any AS Entity that sells products through the AS Marketplace. Responsible for maintaining all ASBS accounting operations to include, daily cash handling, register tape reconciliation, income / expenditure records, and change fund. Oversees Bike shop Point of Sales reports and register data entry. Oversees AS Marketplace to ensure all department interested in having their products sold online receive their share of the revenue. Upkeep inventory management for each product, with departments held responsible for excess product storage. Prepare packaging for shipping orders and mailing checks upon request. Coordinates inventory for AS Works closely with Publications staff to maintain appropriate inventory.
  • 35% Ticket Coordination - Provides advance sales for on- and off-campus events as well as student ticket sellers for all student-sponsored events. Meets with student organizations to arrange the necessary logistics for selling tickets, closing out events, and processing payments. Meet regularly with campus partners from ICA, Theater Dance, AS Program Board, IV Arts and Music department to centralize campus events and develop partnerships. Responsible for the ticket selling locations and equipment. Ensures all equipment is working prior to leaving at the end of any day when there is an event that evening. Ensures that the off-site facilities are in good working order. Serves as on-call supervisor for events as needed. Regularly consults with SEAL Student Engagement and Leadership department and, accountant regarding upcoming programs. Attends Minor Events Committee meetings to provide information on Ticket Office services and processes, as needed. Attends ICA Partners meeting to discuss weekly events and special promotions and work closely with ICA Ticketing Team. Builds all events, offers, promotions and ticket formatting in the ticketing system and provides sales reports and reconciliations of sales for each event for the AS Administration Office and the event producer. Maintains a inventory on ticket stock and regularly check equipment and venue for any damages.
  • 25% Supervision - Hires, trains, and supervises approximately 35 to 50 student cashiers and ticket sellers. Coordinates background checks, establishes work schedules, office policies and procedures and defines student staff duties. Supervises several student managers in running cashiering operations and in charge of tickets and events. Through oversight of the student managers, coordinates work schedules for all on-site ticket sellers. Supervises preparation of time cards, work orders, and requisitions. Supervises student managers in their duties of providing general office support including reception, organizing sales and back room, ordering office supplies. Oversees personnel to ensure that they meet their scheduled hours, sets priorities for them, monitors performance. Ensures student ticket sellers have received training in cash handling and security of funds, public contact and personal safety. Updates manuals and ensures student cashiers and student ticket sellers have received training and education in the following areas : cash handling and security of funds, public contact, consequence of error, personal safety, time requirements, accuracy of work, observance of internal control standards, making daily deposits, and University Policy on cash handling. Trains students in verifying student enrollment and distribution of bus stickers. Assists in implementation of service learning curriculum for Cashiers and Ticket Sellers. Other duties as assigned by the supervisor.
  • 5% Special Projects - Assisting with the planning, implementation, and evaluation of pilot programs and new service initiatives designed to enhance operational efficiency, customer experience, and financial sustainability. Working closely with departmental leadership to identify opportunities for expansion, support logistical needs, and ensure alignment with campus policies and internal control standards. Helping test and refine new systems, workflows, and technologies, while also overseeing trainings and onboarding of student staff involved in pilot initiatives. Supporting data collection, tracking outcomes, and documenting best practices to inform future strategic planning. Other duties as assigned by the supervisor.
