Role Description

At AutoAlert, the Executive Assistant / Office Manager provides high-level administrative support to the Chief Executive Officer and other senior leadership members within the organization. You will oversee the general administrative function and activities of the office, while acting as the primary contact for visitors to the office and the designated travel management company.

You are a team player with strong problem-solving skills and an innovative mindset. You will be a part of a creative, diverse, collaborative team of hardworking individuals to increase brand favorability, customer engagement and advocacy, and revenue growth.

  • Performs high-level administrative support and assistance to the Chief Executive Officer, members of the senior leadership team, and others within the company
  • Manages and completes expense reporting for the Chief Executive Officer and other members of the senior leadership team
  • Acts as primary point of contact between AutoAlert, building management, and parking management, ensuring office space is maintained and facilities requests are submitted and resolved
  • Arranges travel and accommodations for executives and other individuals or groups that may require assistance
  • Fulfills duties of Travel Program Coordinator, interfacing with AutoAlert’s travel management partner and preferred hotel venders
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes, and distributing to participants
  • Performs office management responsibilities including maintaining office vendor records and relationships, ordering supplies, and performing basic recordkeeping
  • Develops and implement new procedures to automate processes and increase efficiencies
  • Arranges and manages lunches for in-office team members
  • Acts as primary point of contact between AutoAlert and vending company, ensuring requested supplies are in stock and machines are kept in working order
  • Maintains schedules for large-scale company meetings, ensuring meeting space is secured and confirmed, food and beverage requirements are met, and any required outside activities are scheduled and confirmed
  • Other duties as assigned

Your Experience and Impact

  • High school diploma or equivalent required
  • 3+ years of administrative and clerical experience required
  • Extensive knowledge of office management procedures
  • Excellent verbal and written communication skills
  • Proficient with Microsoft Office Suite and Concur
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to work cooperatively and collaboratively with all levels of the organization to maximize performance, creativity, problem solving and results
  • Adapt in a positive manner to changing priorities and remain calm in a fast-paced environment
  • Excellent customer-facing soft skills to interact with internal and external customers
  • Supervisor Responsibilities

    This position has no direct supervisory responsibilities but works with other team members inside and outside of the department
