Position Summary
This non-student hourly, 9-month, part-time, approximately 50% FTE hybrid position, without benefits, provides coordination for the Veterinary Communication for Professional Excellence (VCPE) Communication Courses. Specific assistance is requested in prepping coursework, hosting trainings and communication laboratories, and course closing tasks.
The position provides administrative assistance to the two faculty members in the VCPE section. Primary duties include organization of course materials, coordination of communication coaches and simulated clients, ordering supplies, event planning for training and laboratory sessions, and setting up, monitoring, and tearing down the course classroom and small group meeting rooms.
Responsibilities
- Facilitate scheduling and planning for 5 communication courses / semester and 4 continuing education workshops annually
- Serve as host for all coursework – classroom instructors, coaches, simulated clients, veterinary students, and veterinary professionals
- Clarify roles and responsibilities for course preparation and implementation with faculty members
- Update and follow process or task lists to guide the preparation of each course
- Set-up course content and enter and track student submissions, and grading in the educational learning system (Canvas)
- Recruit and schedule key players including communication coaches and simulated clients
- Schedule classroom, small group meeting rooms, and coach and simulated client briefing and debriefing rooms for training sessions and courses
- Provide onsite support for communication laboratories and training events
- Prepare instructor, coach, simulated client, and participant materials
- Arrange hospitality for training sessions and communication laboratories
- Create agendas and case rotation schedules for training sessions, workshops, and communication laboratories
- Send reminders to veterinary students, communication coaches, and participants
- Enroll coaches as guest associates and request and process coach honoraria and travel reimbursement
- Prepare student groups and role tables for the Foundation courses
- Prepare facilitator and simulated client binders for the Foundation courses
- Revise, compile, summarize, and distribute course evaluations – student, communication coaches, and simulated clients
- Circulate thank you notes for course instructors and communication coaches
Qualifications
Associate degree in program / project management / coordination, event or conference planning / coordination, continuing education, business, communication, or related field, OR 2-3 years of related work experience in these areas.Demonstrated competence in office management, program administration, and event planningExcellent communication, interpersonal skills, and customer serviceAttention to detail in project managementExemplary organizational and time management skillsAbility to make decision and to work independently as well as a member of a team and within a well-established framework.Strong writing and editing skillsProficiency in Outlook, Word, Excel, Power Point, Zoom, Microsoft Teams, and ability to learn other software and platforms quickly (Canvas, Wordpress.
