Administrative Assistant
Reports to : Associate Pastor
Works with : Lead Pastor, Assistant Pastor of Next-Gen, Elders, and Team Leaders
Facilitates : Church Calendar, Church Communications, Scheduling, and Administrative Support
Purpose : The principal function of the Administrative Assistant is to serve the HarvestDowntown community by providing administrative support and working with the Pastoral Staff to effectively minister to the needs and requirements of the congregation and church partners.
Expectation : This role is a part-time position at 20 hours a week. Pay is hourly. Schedule : works on site at 411 N Weber on Tuesday, Wednesday, Thursday from 9am to 1pm at a minimum, and as needed on Sunday. Work may also be done from home or another location with the permission of supervisors (Associate Pastor, Sr. Pastor, or Assistant Pastor of Next-Gen). This position is eligible for overtime with the permission of supervisors. Overtime, up to 40 hours a week, is paid at the same rate as regular hours for this position. If hours extend beyond 40 hours per week, time-and-a-half rates apply.

Specific Responsibilities :
Communications
Maintain email communications as directedCoordinate website changesSchedule and post all announcements on the appropriate channels (i.e., website, email, Facebook, and possibly other social media)Send information to stakeholder groups from pastors as directedCoordinate HarvestEngage Magazine timelineEnsure Compass Group communications are communicated and integrated with other church eventsCoordinate necessary communications regarding technology infrastructure needs and changes, not as a subject matter expert on specific technologies, but so that appropriate people are notified of needs and changes in a timely mannerChurch Calendar
Maintain and manage church calendarEnsure that facility needs are addressed for classes, weddings, memorial services and funerals, community gatherings, Compass Group events, and other eventsScheduling
Maintain and manage ministry team schedules, including AV / Tech, Music, HarvestKids, teaching assignments for other classes and events, and other scheduled events as directedGeneral Administrative Support
Facilitate the scheduling and support of all Harvest classes and meetingsEnsure catering is arranged and potluck assignments are arranged, when appropriate, for church eventsProcess all membership-related documentationUpdate Harvest databases as neededCoordinate the compilation and presentation of the Alliance Annual ReportWork with the pastoral team to ensure all church-related data and systems are accurate and well-maintainedAs a member of the staff of HarvestDowntown, the Administrative Assistant is expected to participate in staff meetings, be present for (applicable) staff hours, and perform other duties as assigned.
Minimum Requirements :
