Sponsorship Administrator

Seasonal Work Dates : January 1 - June 30, 2026

Position Summary :

Works under supervision of the Sponsorship Director and Sponsorship Coordinator administering the details of sponsorship accounts and providing assistance in all aspects of sponsorship, including tickets / credentials, production, logistics, prior to, during and after the event. Works to assist the Associate Producer of the Promotions Department as assigned.

Essential Functions :

  • Assist the Sponsorship Department in all aspects of sponsorship solicitations with the Sponsorship Director, the Associate Producer of the Promotions Department, and AEG Global Partnerships, which includes reviewing proposals, attending meetings, note-taking, providing information and research for sponsor activations at all Festivals and special event projects.

Pre-event / Post-event :

  • Perform general clerical duties for the sponsorship department, which include answering phones, scheduling meetings, creating agendas, responding to emails, greeting guests and maintaining a professional work environment.
  • Act as ticketing and credentials customer support for sponsors plus scheduling informational meetings as needed.
  • Develop spreadsheet data reports for sponsor tickets, credentials, VIP passes, production activation requirements, post-event recaps and marketing analysis.
  • Maintain and keep track of production / deliverable deadlines and sponsorship social media calendar.
  • Assist the Sponsorship Department in ensuring sponsors receive & follow the Festival guidelines, understand event rules & protocols, and meet all sponsor promotional deadlines.
  • Maintain confidentiality regarding all sponsor agreements and other sensitive issues.
  • Perform other promotions office and sponsorship related duties as assigned.
  • On-site Event Production :

  • Interface with all Festival departments and on-site production crews as necessary to advance all sponsor deliverables, throughout pre-production, during the event and after the event.
  • Execute the distribution of tickets, credentials, parking, maps and VIP passes for sponsors.
  • Support the Sponsorship Coordinator with all aspects of setting up and maintaining Festival on-site offices, which include receiving and securing furniture, installing dcor, collecting office supplies and establishing communication lines (phones, internet, radio, etc.). Facilitate tear down of Festival on-site offices.
  • Facilitate the production (set up / tear down) of sponsor on-site hospitality areas and sponsor / vendor exhibit area activations of all the various individual sponsorship accounts.
  • Help implement details of all sponsorship agreements (i.e., social promotions, special promotions, signage, hospitality area requirements, etc.).
  • Facilitate on-site communication between sponsors, Festival Sponsor Liaisons and Sponsorship Coordinator.
  • Education, Experience and Skills Required :

    College degree preferred. Excellent organizational skills. Professional presentation. Meticulous record-keeping. Past experiences in VIP or Hospitality relations, event ticketing & credentials, promotions, marketing, public relations or special events are preferred. Able to organize, prioritize work and meet deadlines. Attention to detail is a must. Excellent proofreading skills. Strong verbal, written and diplomatic skills. Excellent office and strong computer skills. Proficient in Microsoft Excel, Word and Google Workspace. Adobe Suite experience a plus.
