Office Manager / Executive Assistant
The California Post is seeking an Office Manager / Executive Assistant to oversee the opening and day-to-day operations of our new Los Angeles office. The Office Manager will manage the facilities and overall office environment while also supporting administrative tasks for the California Post Editor-in-Chief, the top commercial executive, senior leadership, and staff. This role will report directly to the Editor-in-Chief and top commercial executive.
This is an exciting opportunity to play a critical role in establishing a brand-new newsroom in Los Angeles. The Office Manager will be responsible for ensuring the office is fully operational from day one, coordinating with vendors, facilities, and technology teams to set up a modern, efficient, and collaborative workspace. Beyond daily operations, this role will also oversee reception and hospitality services, vendor management, employee engagement activities, office security, and procurement processes, while providing executive-level support to senior leadership.
Responsibilities :
- Oversee day-to-day operations of the newsroom office space, including maintenance, supplies, equipment, and vendor relationships.
- Coordinate seating arrangements and IT equipment setup for new hires.
- Manage health, safety, and security procedures to ensure a safe, efficient workplace.
- Serve as the main point of contact for building management and external contractors.
- Liaise and coordinate with vendors and appropriate teams on deliverables which include facilities projects, floor related tech updates, purchases, corporate branding and regulated third-party vendor services (plants, newspapers, etc)
Administrative & Operational Support :
Handle reception responsibilities including answering calls, greeting visitors, booking conference rooms, and managing mail and deliveries.Organize and support the hospitality services offered by reception which includes general duties, pantry updates, and conference room management, specific to each floor's needs.Coordinate internal events, staff meetings, and team communications upon request.Executive Assistant Support :
Provide direct support to the Editor-in-Chief and top commercial executive with scheduling, correspondence, and project coordination.Coordinate complex travel arrangements and manage expense reports for the Editor-in-Chief and top commercial executive.Handle confidential information with discretion and professionalism.Anticipate leadership needs and proactively ensure they are well supported.Requirements :
5+ years of experience as an Office Manager, Administrative Manager, Executive Assistant, or similar role.Strong organizational and multitasking skills with keen attention to detail.Excellent communication and interpersonal skills; able to work across all levels of the organization.Experience managing vendors, budgets, procurement processes, and office operations.Proficient in Google Workspace, Microsoft Office Suite, scheduling tools, Mac and PC environments.A team player while demonstrating the ability to work independently and have a desire to take ownership and accountability of projects.High level of professionalism, discretion, and problem-solving ability.Ability to demonstrate flexibility and professionalism as new assignments arise.Ability to prioritize and pivot from one task to another, leverage resources efficiently and respond quickly in a challenging and fast-paced environment.Note : This role will be based in our Century City office and requires regular onsite presence.

Pay Range : $80,000 - $90,000
