JOB DESCRIPTION

Position Summary :

Kinexis Consulting is looking for an experienced office administrator with human resources (HR) experience to assist with the running of a small business office including employee relations, policies, and practices to help us grow and thrive. The ideal candidate will have experience in small business office administration including but not limited to invoicing, government filings, travel planning / tracking, company meeting planning as well as HR operations including onboarding, exit interviews, administration of benefits and compensation and conflict resolution. As an ambassador of our company’s culture, Kinexis’ administration / human resources professional must have excellent communication and interpersonal skills as well as enthusiasm for nurturing employee performance and a pleasant work environment.

Essential Duties and Responsibilities

  • Review and make recommendations to improve office operations and supervise benefits administration.
  • Be the licensee designate for the company’s LinkedIn contract and perform the recruiting search function.
  • Manage employee onboarding and termination procedures.
  • Serve as primary contact for plan vendors and third-party administrators.
  • Coordinate transfer of data to external contacts for services, premiums and plan administration.
  • Ensure compliance with applicable government regulations.
  • Establish and manage the enrollment / onboarding process, terminations, changes in positions, distributions, loans, hardships and compliance testing.
  • Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.
  • Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans.
  • Allocate group health and dental claims monthly and review quarterly.
  • Perform plan audits.
  • Other administrative duties include but not limited to filing, certification registration, trend evaluation.
  • Assist with the preparation of monthly billing / invoicing, timesheet reconciliation and expense tracking
  • Prepare registration, certifications, and submissions (401k plans & medical benefits)
  • Conduct various compliance audits, documentation & filings.
  • Coordinate required activity with legal firms and accounting teams
  • Complete training and become an “Authorized Signatory” for PANYNJ SIDA ( S ecure I dentification D isplay A rea) badging at all NY Metro area airports (EWR, LGA, JFK)
  • Assist with scheduling and coordinating company webinars, panel participation as well as supporting marketing material development and campaigns.
  • Assist with proposal writing and reviews
  • Manage staff resumes, log & track staff certifications and schedule vendor training
  • Assist with research projects as needed
  • Attend and participate in speaking engagements at industry conferences as required
  • Assist with social media marketing strategies as required
  • Prepare and manage the company’s Holiday mailing lists and campaigns.

Qualifications :

  • Experience and proficiency in the use of Microsoft’s Suite of products.
  • Experience working with GUSTO and / or Heartland (Payroll & Benefits) systems.
  • Strong employee / team management and leadership skills
  • Strong analytical skills and thorough knowledge of benefit plan designs.
  • Ability to understand, evaluate and make judgments on issues related to business and office operations.
  • Knowledge of benefits contract language.
  • Working knowledge of all pertinent federal and state regulations. Experience managing the filing of compliance requirements and claims plus monthly / quarterly reviews.
  • Ability and willingness to work both remotely and at the company’s office in Parsippany NJ.
  • Certificates, Licenses, Registrations :

  • Undergraduate degree in Human Resource Management, Business Administration or equivalent and three to five years of related benefits or employee benefits. administration experience.
  • A valid driver’s license and vehicle will be needed.
  • Applicants must pass background checks for security purposes.
  • Compensation and Benefits :

  • Compensation commensurate on experience
  • Vacation Paid-Time-Off (PTO) – 10 vacation days (80 hrs) per year, accrued throughout the year in pay periods
  • Sick Time PTO – 5 sick days (40 hrs) per year, accrued throughout the year in pay periods
  • Benefits Package will provide details for
