Job Description

The Office Manager plays a key role in keeping the practice running smoothly, balancing day-to-day operations with long-term efficiency goals. This position ensures the office delivers excellent patient care while staying compliant with healthcare standards. The role requires strong leadership, problem-solving, and organizational skills to support staff, maintain accurate records, and keep workflows on track.

  • Supervise and train office assistants, ensuring smooth workflow and high-quality customer service
  • Develop and implement office policies and procedures to optimize efficiency and productivity
  • Manage scheduling and staffing to ensure adequate coverage and patient care
  • Oversee the maintenance of electronic medical records and patient charts, ensuring accuracy and compliance with regulations
  • Coordinate with healthcare providers, insurance companies, and other stakeholders to streamline processes and resolve issues
  • Monitor and manage inventory of office supplies and equipment
  • Prepare reports and analyze data to identify areas for improvement and implement solutions
  • Handle escalated patient inquiries and complaints, striving for satisfactory resolution
  • Ensure compliance with HIPAA regulations and other healthcare standards

Qualifications

  • High school diploma or equivalent
  • Minimum of two years of experience in a medical front office role, with supervisory experience preferred
  • Exceptional leadership and communication skills
  • Proficiency in Microsoft Word and Excel; experience with medical software preferred
  • Flexible availability with a willingness to adapt to changing schedules
  • Strong attention to detail and accuracy
  • Excellent time management and organizational abilities
  • A collaborative team player with a positive and energetic attitude focused on delivering outstanding customer service
