Aurora Record Center Job
Supports the controlling and coordinating all record / box requests received at the Aurora Record Center. Performs retrieval, sorting, scanning, and delivery of all types of requested records, as well as destruction of records / boxes, and clerical support. Additional responsibilities may include statistics and other functions related to the daily operations of the Record Center.
Essential Functions
- Maintains the highest level of customer service; answering telephone, email or fax inquiries relating to record requests, ensuring all record requests are retrieved and prepared for scanning or delivery in a timely manner to include bar code scanning of records into and out of the Record Center. Requests can be for Outpatient, Inpatient, Clinic, Radiology or business box / record retrieval, as well as microfilmed / microfiche records.
- Sorts and stages records for refiling, ensuring all filing is up to date.
- Responsible for retrieving STAT records, films and / or visits from the file system and properly track these records. In addition, the associate will follow-up using established procedures to verify all records / visits not found in file.
- Complete daily work productivity forms for statistics.
- Ongoing audits of a percentage of the file system will be conducted daily to ensure terminal digit integrity.
- Participates in record center projects in cooperation with the Record Center Supervisor (i.e. record sorts, re-labeling of records, destruction of boxes, medical records and Radiology Film, shifting of files etc.)
- Receive boxes of records; lifts boxes of records (35 50 lbs) to shelving or removes records from boxes to place on shelving.
- Performs other duties as assigned.

High School diploma or equivalent required.Demonstrated proficiency in computer skills including Microsoft Office, internet and email required.Experience working in a record center environment (warehouse) and / or medical office / hospital.Knowledge of medical record numbering systems preferred.Experience with Epic preferred.Customer service experience, preferably in a healthcare setting, is preferred.English communication (reading / writing) and mathematical skills required.Physical Requirements
Ongoing need for caregivers to see and read information, labels, monitors, identify equipment and supplies, and be able to assess customer needs.Standing and or sitting for long periods of time.Warehouse conditions warm in summer, cool in winter and dust.Frequent interactions with customers that require caregiver to communicate as well as understand spoken information, needs, and issues quickly and accurately.Manual dexterity of hands and fingers to manipulate complex and delicate equipment with precision and accuracy.Expected to lift and utilize full range of movement to transport, pull, and push equipment such as pallet jacks, conveyor belt and dollies.Will also work on hands and knees, climb ladders and bend to set-up, troubleshoot, lift, and carry supplies, boxes, and equipment.
