Reports To : Office Manager / Business Owner

Location : Vandenberg Electric & Communications LLC – David City, NE

Position Overview

Vandenberg Electric & Communications LLC is seeking a highly organized and detail-oriented Office Administrator to support our day-to-day business operations. This position will be a key player in managing payroll, assisting with our transition to a new Field Service Management (FSM) system, supporting HR functions through BambooHR, and ensuring excellent service to both customers and vendors.

The ideal candidate is dependable, adaptable, and skilled at balancing multiple priorities in a fast-paced environment

Key Responsibilities

Payroll & Time Management

Process payroll accurately and on schedule.

Reconcile employee hours and resolve discrepancies.

Field Service Management (FSM)

Assist with the transition to a new FSM system.

Build jobs and customer accounts in FSM.

Create and send invoices through FSM.

Human Resources Support (BambooHR)

Manage employee records, information, and time-off requests.

Provide general HR support as needed.

Customer & Vendor Support

Answer phone calls and deliver professional customer service.

Set up vendor accounts and assist with related processes.

Manage Reinke Coop funds procedures.

Documentation & Recordkeeping

Print, document, and file vendor invoices into job folders (PO's).

Maintain both digital and physical filing systems.

Front Desk & Administrative Duties

Manage front desk and greet visitors.

Maintain a professional office environment.

Provide general administrative support.

Qualifications

Prior office administration or bookkeeping experience preferred.

Knowledge of payroll processing and HR software ( BambooHR experience a plus

Familiarity with FSM software or willingness to learn quickly.

Strong organizational and time-management skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Excellent communication and customer service skills.

Ability to maintain confidentiality and handle sensitive information.
