We're Hiring! Join us as a Resale Tax Exempt Certificates Manager and lead the charge in ensuring tax compliance and operational efficiency. You'll manage certificate collection, oversee a global support team, collaborate across departments, and support audits while driving process improvements and customer satisfaction.
The Resale Tax Exempt Certificates Manager will oversee the process of collecting, verifying, and maintaining resale tax exempt certificates from eligible customers. This role is critical in ensuring that the company adheres to all applicable tax laws and regulations to avoid legal issues and penalties.
A Day In The Life
Certificate Collection, Verification, and Record Keeping
- Ensure that all required tax-exempt certificates are collected from customers claiming tax exemption.
- Work closely with our Customer Master data team to create reporting to identify common customers and locations to simplify outreach to our larger customers and obtain needed documents.
- Verify the authenticity and accuracy of each certificate, ensuring they meet state and federal guidelines.
- Utilize Vertex within SAP to store, end-date certificates, and generate reports of upcoming expirations.
- Maintain digital records of certificates and ensure they are backed up and secure.
- Regularly review and update record-keeping procedures to enhance efficiency and compliance.
Compliance and Reporting
Coordinate with Tax Team experts to stay apprised of changing rules and regulations.Implement policies and procedures that comply with these laws to safeguard the company against tax liabilities.Generate reporting that shows the health of the function, the key SLAs and the cost per transaction.Team Management and Training
Lead and manage an offshore team responsible for handling tax exempt certificates.Provide training and guidance to team members to ensure accuracy and efficiency in the certificate handling process.Coordinate with Segment Business Unit Sales and Finance leaders to explain status and seek assistance with customers as needed.Evaluate team performance and provide feedback to improve productivity.Audit and Risk Management
Support Segment Business Units undergoing a sales and use tax audit in obtaining and organizing supporting documents needed.Identify potential risks in the tax exemption process and implement measures to mitigate these risks.Resolve any issues or discrepancies regarding exemption certificate management identified during internal or external audits.Customer Service
Identify and work closely with customer tax teams / individuals to streamline and adapt our data collection needs with their data and processes.Build relationships with Sales professionals and others within the Segment to answer questions and secure their assistance in finding the tax professionals within our customer's organization.Resolve customer issues and complaints related to tax exemptions promptly and professionally.Maintain positive relationships with customers to ensure compliance and repeat business.Work closely with the Deductions Team to monitor Sales Tax Deductions and work to keep these disputes minimized across the Company.What will help you thrive in this role?
Required Skills and Qualifications
Bachelor's degree in Accounting, Finance, Business Administration, or related field is preferred.Minimum of 5 years of experience in tax, finance, or a related field, with at least 2 years in a supervisory role.Strong understanding of sales tax laws and exemption requirements.Excellent organizational skills and attention to detail.Strong leadership and team management skills.Proficient in Microsoft Office Suite.Excellent communication and interpersonal skills.Preferred Qualifications
Experience in a multi-state business environment.Experience managing an offshore support team.Familiarity with SAP and Vertex.Work Environment
