Job Description : Job Summary

The Institutional Advancement (IA) Liaison Assistant is involved in all correspondence and reporting duties between the Financial Aid and Institutional Advancement office regarding scholarships, scholarship donors, and student interaction with scholarship donors. This includes compiling, sharing data, and creating reports. This role will involve meeting with staff from Institutional Advancement, proposal writers, donors, and students. All of these activities are under the supervision and guidance of the IA Liaison and the Assistant Director of Financial Aid. In addition, under the supervision of the Assistant Director, the IA Liaison Assistant will also perform counselor functions for the Financial Aid office as needed.

Essential Job Functions

  • Work closely with the IA Liaison, Asst. Director of Financial Aid, and Financial Affairs in receiving yearly budgets, updated endowment information, and setting up scholarship codes in databases.
  • Communicate with Institutional Advancement regarding reports, recipient names, bios, and any other additional information. Scan and document these reports.
  • Create and send reports to outside constituents including donors of privately funded scholarships and grants.
  • Assist the IA Liaison in providing contact information to students for donor correspondence on the Day of Thanks.
  • Assist the IA Liaison and Special Events department to plan scholarship luncheons.
  • Determine need-based aid eligibility by calculating a familys estimated family contribution using a Financial Need Analysis Report for both prospective and returning students.
  • Verify all Financial Need and Profile reports regarding students qualification for need-based aid.
  • Prepare and mail / email correspondence; such as, no need letters, loan policy letters, Hillsdale College loan approval / denial letters, and promissory notes.
  • Submit recommendations for student aid awards to the Director of Financial Aid.
  • Assist in the completion of all necessary financial aid procedures for Hillsdale College loan requirements, which include calculating creditworthiness via debt-to-income requirement, and providing required disclosures.
  • Manage student financial aid data within Colleague and Self-Service.
  • Counsel students with respect to scholarship, grant, and loan requirements such as grade point, employment, and community service requirements.
  • Schedule student borrower exit interviews regarding the repayment of loans. Prepare necessary documents for the exit interview.
  • Communicate and meet with prospective / current students and their families.
  • Assist, as needed, with Hillsdale loan invoices including receiving and posting of loan payments.

Required Qualifications :

Education and Experience

This position requires a baccalaureate degree with one to two years of office and computer experience; or a combination of education, training or experience sufficient to demonstrate the ability to perform the job.

  • Strong computer skills with knowledge of Colleague, Excel, Word, and Outlook.
  • Possess excellent professional communication skills written (email, letters) and personal interaction (phone, face-to-face).
  • Ability to maintain confidentiality.
  • Basic accounting skills, including knowledge of federal income tax forms.
  • Basic knowledge of the financial aid process.
  • Ability to work in a fast-paced environment and meet deadlines routinely.
  • Must possess good organizational skills.
  • Be able to make autonomous decisions.
  • Understand the work of other offices as it relates to Financial Aid.
  • Be dependable, have a good attitude, be a self-starter, and possess strong analytical thinking.
  • Acquire knowledge of the loan process.
  • Ability to learn new procedures.
