Juvenile Services Administrative Support
Reporting directly to a Juvenile Services Manager or Director, responsible for providing advanced administrative support to an assigned division.
Examples of work performed include :
- Providing direct customer service either in person or on the telephone
- Creating and maintaining various reports related to assigned division
- Creating and maintaining forms, worksheets, and informational materials
- Creating and maintaining database records
- Ensuring comprehensive filing systems are maintained and up to date
- Assisting in planning and executing special projects and events
- Assisting with policy and procedure updates
- Copying, filing, and auditing invoices
- Entering and verifying data within the Juvenile Case Management System (JCMS) database
- Cross-training with office staff in other areas to ensure continuity of departmental operations
- Attending all meetings and trainings, as required
- Performing special duties as assigned
Specialized assignments include :
Facilities : Reviewing, auditing, and entering various Texas Juvenile Justice Department (TJJD) reports (i.e. disciplinary, incident, injury); overseeing supply inventory for the Detention and CORE divisions and making necessary purchases; assisting with annual state auditsCourt : Processing juvenile arrest documentation; updating Department of Public Safety (DPS) computerized criminal history and ensuring compliance; maintaining and producing caseload reportsPurchasing : Assisting with the processing of invoices and expense reports, including the posting of invoices to the appropriate expenditure budget line items; assisting with reconciliation of monthly bank statements, reports, and processing of checks; maintaining monthly budget update for Division Directors; purchasing supplies for the entire departmentRecords : Auditing probation files to ensure accuracy; communicating with various agencies regarding juvenile information and records; serving as the Court Liaison for Motion for Enforcement cases by assisting parents and attorneys with documentation; performing Department of Public Safety (DPS) background checks as requested by Probation Officers and maintaining detailed report; receiving funds for probation, restitution, court, and child support feesGrant : Gathering and analyzing documentation for multiple grants and submitting to the corresponding agency; entering all JSO / JPO training into ICIS as required by TJJD; tracking training hours for all JSO / JSP staff and submitting required documentation for initial certification and renewal; assisting with the Probation Officer / Supervision Officer certification renewal processOrganization relationships include :
