Office Coordinator – Lighting Design Studio

We are seeking an organized, proactive, and detail-oriented Office Coordinator to join our dynamic team. This role is pivotal to the smooth day-to-day operations of the firm, providing support to studio leadership, coordinating studio functions, and performing a wide range of administrative duties.

The ideal candidate will have experience in a professional architectural, lighting design, or interior design firm. They should be self-motivated, highly organized, and possess excellent communication skills. The candidate must thrive in a fast-paced, collaborative environment and understand the importance of maintaining a positive and engaging work culture while ensuring operational efficiency.

Key Responsibilities

  • Provide front desk support : greet visitors, manage phones, and respond to email inquiries.
  • Manage incoming and outgoing mail and packages, ensuring timely processing and delivery.
  • Maintain the Principal's calendar and coordinate schedules, meetings, and travel for studio leadership.
  • Support Finance & Operations teams with administrative tasks and documentation.
  • Liaise with representatives to coordinate studio visits, Lunch & Learns, and Happy Hours.
  • Maintain office and studio calendars and coordinate logistics for internal events.
  • Monitor and order office and kitchen supplies.
  • Organize and maintain lighting samples and project materials.
  • Ensure shared spaces remain clean, stocked, and organized.
  • Schedule and oversee service providers for repairs, maintenance, and equipment needs.
  • Coordinate with IT to support computer and equipment troubleshooting and maintenance.

Qualifications

  • Bachelor's degree or equivalent professional experience in administration, design, or a related field.
  • 2+ years of administrative or studio coordination experience (AEC / design industry experience preferred).
  • Excellent organizational, written, and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and cloud-based project management tools.
  • Familiarity with Deltek Ajera is a strong advantage.
  • Ability to manage multiple priorities with accuracy and attention to detail.
  • Collaborative, proactive, adaptable, and positive in attitude.
