Essential duties & responsibilities :
Process, track, and manage international customer orders from receipt through delivery. Release backorders as inventory becomes available.
Review all required international shipping documentation, including commercial invoices, packing lists, certificates of origin, and customs declarations, ensuring accuracy and compliance with export regulations and internal policies.
Coordinate with internal departments (Supply Chain, Production, Regulatory, Pricing, Marketing, Engineering, Quality, and Finance) to ensure accurate and timely order fulfillment.
Provide customers with order acknowledgments, confirmed shipping dates, and real-time updates on order status.
Support resolution of customer inquiries, billing discrepancies, shipping delays, or order errors by collaborating with relevant departments.
Initiate and process product returns in accordance with company procedures and international return policies.
Maintain accurate records of purchase orders, shipping documents, returns, and invoices for audit and compliance purposes.
Ensure compliance with global trade and export regulations and maintain awareness of relevant documentation and regulatory requirements.
Participate in ongoing system training to stay current on order processing platforms and tools.
Perform additional duties as required to support international logistics operations.
Education & special trainings :
Bachelor's degree preferred; OR at least 4 years of experience in customer service or international logistics.
Familiarity with inventory systems and order management software.
Experience with international order processing, global shipping documentation, and export compliance is preferred.
Prior experience in the medical device or regulated industry is preferred.
Qualifications & experience :
Strong intercultural communication skills with sensitivity to language barriers, business etiquette, time zones, and cultural differences that influence communication and collaboration.
Excellent communication and interpersonal skills; able to build rapport with global customers and internal teams.
Must be able to collaborate cross-functionally and adapt to changing priorities.
High attention to detail with a focus on accuracy in data entry, billing, and documentation.
Ability to prioritize and manage multiple tasks in a fast-paced, deadline-driven environment.
Proficiency in Microsoft Office and ERP systems.
