Facilities Coordinator

Beacon Hill Associates is seeking a Facilities Coordinator (Contract-to-Perm) to support a premier corporate office relocation project in Nashville, TN.

This is an exciting opportunity to play a key role in decommissioning an office space and assisting with the start-up of a new warehouse facility. The role begins as a short-term contract with strong potential to become a long-term position. In this role, you'll manage vendor coordination, facility operations, and daily support activities while working in a highly professional, client-focused environment.

Daily Duties :

Coordinate vendors and contractors to ensure timely completion of decommissioning and new site setup.

Oversee daily mail operations, including sorting, distribution, courier coordination, and secure handling of sensitive deliveries.

Support procurement processes by assisting with vendor management and service sourcing.

Manage financial tasks such as purchase orders, expense tracking, and monthly accrual reporting.

Conduct site inspections, audits, and implement safety and building procedures.

Assist with risk management programs, incident reporting, and disaster recovery planning.

Maintain facilities in good condition and support project-based initiatives as needed.

Top Three Daily Tasks :

Coordinating vendor activity for the office decommissioning and warehouse launch.

Managing mailroom operations and secure delivery processes.

Supporting financial tracking and purchase order management.

Ideal Candidate :

2+ years of customer-facing or facilities coordination experience.

Bachelor's degree preferred.

Strong organizational skills, attention to detail, and time management ability.

Excellent communication and interpersonal skills.

Proven ability to multitask and adapt in a fast-paced environment.

Experience with Microsoft Word, Excel, and Outlook.

Prior background in procurement, logistics, or event coordination a plus.

Additional Details :

Location : Nashville, TN

Hours : Monday-Friday, 9 : 00 AM - 2 : 00 PM (flexibility available)

Duration : September 29 - November 15, 2025 (potential to extend long term)

Pay Rate : $25 / hour
