Auto Special Services Supervisor

Harris County Tax Assessor-Collector's Office is seeking a dedicated, detail-oriented, and customer-focused Auto Special Services Supervisor to join our team. The Auto Special Services Supervisor is a leadership role within customer service operations, responsible for supporting upper management in overseeing and coordinating departmental activities. This position ensures the smooth and efficient operation of the division by supervising deputies, monitoring performance, providing coaching, and maintaining high service standards. The Supervisor assists with planning and coordinating administrative and technical functions related to automobile tax collection and titling applications, ensuring full compliance with State of Texas regulations. In addition, this role supports management in developing work schedules, directing daily operations, and fostering a customer-focused environment by delivering exceptional service and guidance.

The Harris County Tax Assessor-Collector's Office is essential for ensuring the proper administration of tax laws and providing vital services to the community. The office plays a key role in local government, handling various financial and administrative tasks, including :

  • Property Tax Collection : Assess and collect property taxes for all eligible commercial and residential property owners and entities. Calculate property taxes based on appraised values and ensure collection and distribution to the appropriate entities.
  • Motor Vehicle Services : Manage commercial and residential vehicle registration, issue license plates, and handle vehicle title transfers, including the collection of associated fees.
  • Voter Registration : Oversee voter registration within the county, issue voter registration certificates, and maintain an accurate voter registration roll.
  • Additional Revenue Collection : Collecting certain fees, fines, and revenues related to permits or state mandates, depending on the county's needs.

Duties and Responsibilities :

  • Execute daily opening and closing procedures, including verifying the accuracy of title work and reconciling bank deposits.
  • Conduct weekly inventory control of departmental supplies (e.g., plates, placards) and process deletions for voided, damaged, or missing items.
  • Prepare and issue refund letters in accordance with established guidelines.
  • Assign and track work distribution to Deputy Specialists.
  • Manage inbound communications by responding promptly to phone calls and emails.
  • Maintain daily dashboard updates, monitor production, and track backlog to ensure operational efficiency.
  • Oversee staff and departmental operations in the absence of the manager.
  • Facilitate training programs for new hires and provide ongoing coaching and development for team members.
  • Collaborate and communicate effectively with internal departments and external customers.
  • Review and verify employee timesheets for accuracy and compliance with policies.
  • Availability to work weekends as required.

    Requirements

    Education and Experience :

  • High school diploma or GED equivalent from an accredited U.S. institution
  • A minimum of (2) years of cash handling, data entry, and customer service experience, and at least (1) year of supervisory / management experience.
  • Must have current Auto Division experience within the Tax Office
  • Knowledge, Skills & Abilities :

  • Excellent reading comprehension with strong verbal and written communication skills.
  • Proficient in PC use, including the ability to review reports accurately and identify errors.
  • Ability to quickly learn and retain large amounts of detailed information.
  • Capable of working independently without constant supervision while contributing effectively to a team-oriented environment.
  • Must be able to multitask, adjust to changing priorities, rotate to other branch locations / cross-train in other sections of the division without advance notice, and work extended hours as needed.
  • Consistently maintain a professional attitude and appearance, while delivering courteous and effective customer service.
  • Demonstrated ability to maintain confidentiality regarding sensitive customer and departmental information.
  • Able to accept guidance, follow supervisory direction, and perform additional duties as assigned.

  • Technical Proficiency : Proficient in the use of personal computers, office applications, and related technology to perform daily responsibilities accurately and efficiently.

  • Physical Requirements : Ability to maneuver and lift up to 30 pounds to a height of 3 feet as part of routine job functions.
  • Confidentiality : Adheres strictly to office confidentiality requirements regarding sensitive customer and departmental information.
  • Adaptability & Supervision : Able to take direction, respond well to supervision, and perform other duties as assigned with flexibility.

    Preferences

    Education & Experience :

  • Two (2) years of supervisory / management experience in customer service or a related field
  • Bilingual in Spanish and English; strongly preferred
  • Associates degree

  • Monday-Friday 8 am - 5 pm; subject to overtime and weekends
