GENERAL PURPOSE : Coordinates facilities repairs as assigned to include HVAC, electrical, plumbing, lighting, flooring, ceiling, roofing, elevator, fire systems, signs, pest control, energy management, landscaping, and other general repairs. Coordinates associated vendor activities. Records work requested, maintains detailed records, and consistently follows up on all requests and outstanding work orders. Reviews and approves competitive vendor quotes for high value repairs. Audits vendor performance and assists in vendor selection and allocation. Oversees design and execution of multi-store capital and expense projects. Analyzes repair history and techniques to identify opportunities to minimize repetitive issues, improve processes and vendor performance. The base pay range for this role is $31.35 - $46.85. The base pay range is dependent on factors including, but not limited to, experience, skills, qualifications, relevant education, certifications, seniority, and location. The range listed is just one component of the total compensation package for employees. Other rewards vary by position and location. ESSENTIAL FUNCTIONS : Promptly respond to verbal and written maintenance and repair requests for all assigned facilities to maintain their appearance, function, and reliability, incorporating positive customer service and efficient, professional administrative techniques. Coordinate work with management, all constituencies, assigning work to appropriate vendors and contractors based on their ability and cost. Negotiate and / or bid work to obtain competitive pricing and the best quality. Maintain cumulative records of all work completed and monitor all scheduled maintenance actions and progress using ServiceChannel. Manage assigned work orders to minimize work order aging and all outstanding requests for proposals, and work orders. Review and code invoices and record costs of all maintenance work to stay within budgets and develop new budgets. Coordinate and follow-up on all assigned work to ensure the vendor is achieving our standards and expectations. Negotiate, review and submit for management approval all contracts. Approve high value WOs and capital projects up to Manager level. Identify, screen and assist in onboarding new vendors when needed. Maintain Certificates of Insurance and Indemnification Agreements on all vendors. Coordinate work as necessary with other departments, including Real Estate Property Management, Store Operations, Loss Prevention and Risk Management. Coordinate justification, analysis and execution of multi-store capital and expend programs such as HVAC replacements, ADA upgrades. Provide and utilize analysis of historical repair costs to identify process improvements and opportunities to minimize ongoing repetitive issues. Assist in the maintenance and updates to departmental data files, and historical information to ensure an ongoing record of equipment and processes for stores and department. Perform other duties as assigned by the Manager, Store Facilities including coverage of other departmental areas. COMPETENCIES : People Collaboration Self Leading by Example Communicates Effectively Ensures Accountability and Execution Manages Conflict Business Plans, Aligns and Prioritizes QUALIFICATIONS AND SPECIAL SKILLS REQUIRED : High school graduate or equivalent 2-4 years of previous experience in Facilities or Construction Management Knowledge of PC skills including, Microsoft Office applications including Word & Excel, Energy management systems. Knowledge of CMMS (maintenance) systems a plus. Ability to obtain bids or requests for proposals and negotiate contracts. Knowledge of accounting and budgeting processes. PHYSICAL REQUIREMENTS / ADA : This position requires the ability to work in an office environment, including using a computer, attending meetings, working as part of a team, and the ability to communicate with team members and others. Regular attendance also is a requirement of the position.
