As we expand our footprint in the U.S., were looking for a proactive and detail-oriented Operations Associate to help drive seamless logistics, coordinate with our 3PL provider, and support our U.S. sales team.

Role Overview

As the Operations Associate, youll be the operational backbone of our U.S. logistics function. Based in Los Angeles, youll work closely with our Melbourne headquarters and serve as the primary point of contact for our U.S.-based 3PL provider, ensuring service-level agreements (SLAs) are met and escalations are resolved swiftly.

Beyond 3PL coordination, youll support the U.S. sales team with day-to-day operational needs, manage international shipping processes, and assist with reporting, budget tracking, and process improvement. Youll also play a key role in identifying local insights and operational gaps as we scale our U.S. footprint, helping shape the systems, partnerships, and workflows that support growth.

This is a hands-on role that blends logistics coordination, client fulfillment, and back-office operationsideal for someone who is detail-oriented, proactive, and excited to help build a growing global brand in a new market.

Key Responsibilities

3PL & Fulfillment Coordination

  • Serve as the primary day-to-day contact for our U.S.-based 3PL partner
  • Monitor performance to ensure SLAs are met across fulfillment, returns, and custom embroidery orders
  • Manage escalations in real time, coordinating across teams to resolve issues quickly (e.g., lost shipments, return discrepancies)
  • Coordinate and track special projects including bulk rollouts and custom packaging or fulfillment requirements
  • Act as the U.S. timezone liaison with freight forwarders for delivery coordination, supporting the Planning team on scheduling
  • Maintain positive and proactive relationship management with 3PL teams

Sales Team Support

  • Provide responsive operational and administrative support to U.S.-based sales team
  • Troubleshoot fulfillment and delivery issues on behalf of key clients
  • Assist in tracking large client orders and ensuring smooth delivery timelines
  • Help manage custom and high-touch client requests from operations side
  • Logistics Support

  • Monitor and update daily delivery tracking, including DHL international shipments from Australia and local U.S. deliveries from our 3PL partner.
  • Liaise directly with DHL for customs clearance, document requests, or shipping delays
  • Ensure import / export paperwork is handled accurately and efficiently
  • Administrative & Reporting

  • Support ongoing operational reporting including open orders, order delays, and outstanding invoices
  • Track and reconcile monthly budgets in collaboration with the finance and sales team
  • Maintain SOPs and ensure processes are followed across all operations touch points
  • Identify process gaps or inefficiencies and proactively escalate or suggest improvements
  • What You Bring

  • 24 years experience in operations, logistics, supply chain, or a related field
  • Previous experience liaising with 3PL providers or managing logistics processes preferred
  • Strong communication skills and ability to coordinate across time zones
  • Detail-oriented with strong follow-up and documentation habits
  • Proactive problem-solver with the ability to prioritize in a fast-paced environment
  • Comfortable working independently while collaborating closely with remote teams
  • Familiarity with ERP or Inventory Systems
  • Experience acting as a bridge between sales and fulfillment e.g, managing order timelines or client-specific order requirements.
  • Comfortable using spreadsheets for order tracking, reporting, and budget monitoring.
