    Summary / Objective

    The Housing Counseling Intake Coordinator serves as the first point of contact for individuals seeking housing support, guiding them through the intake process with professionalism and care. This role ensures accurate data collection, timely communication, and smooth coordination between clients, staff, and external partners to support successful housing outcomes.

    Essential Functions

  • Answer inquiries about our programs, filter clients to the correct program by ensuring they get an appointment for required services. Keep track of calls and outcomes.
  • Assist interested parties in beginning the inquiry or application process for Habitat programs and / or to refer to programs outside the agency.
  • Assist clients through the housing counseling intake process by entering data into the HomeKeeper platform.
  • Meet with clients by phone or face to face to assist with collecting data and documents.
  • Upload documents, keep track of data entry, maintain accurate files, and ensure all data is entered in a timely manner.
  • Notate each file when working with the clients to paint a picture of the story and help the client understand their next steps.
  • Understand the required documents needed for all Habitat Orlando & Osceola programs to assist clients in navigating the process and collecting the necessary documents in a timely manner.
  • Stay current with trainings and update Housing Counseling information.
  • Manage relationship with the client throughout the intake process, following up with clients that miss appointments.
  • Answer all mail, email, and telephone calls within 48 business hours and in a courteous and professional manner.
  • Provide assistance to other department staff members as needed.
  • Provide reports on status of files on a regular basis.
  • Work closely with the certified housing counselors.
  • Assist as needed with additional events such as but not limited to FTHBW, Habitat U, intake days etc.
  • Other duties as assigned in support of the Programs team.

  • Supervisory Responsibility

    This position has no supervisory responsibility.

    Work Environment

    The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

    Physical Demands

    The position requires sitting for extended amounts of time and working on a computer / typing and communicating on the phone. The employee must also occasionally lift and move up to 15 pounds.

    Position Type / Expected Hours of Work

    This is a full-time, hourly position. Standard work hours are Monday through Friday, 9 : 00 a.m. to 5 : 00 p.m. Occasional evening and weekend hours may be required based on program or client needs.

    Travel

    Travel, if any, is primarily local during business hours and mileage is reimbursed.

    Required Education and Experience

  • High school diploma or equivalent
  • One year customer service experience
  • Bi-lingual; fluent in English and Spanish
  • Must obtain Anti-Money Laundering certificate within the first 90 days and maintain annually : training provided by Habitat
  • Must obtain Safeguarding certificate within the first 90 days and maintain annually : training provided by Habitat
