Facilities Operations & Maintenance Coordinator

As part of the Places team, you'll help ensure these spaces run smoothly, are well-maintained, and provide a seamless experience for employees and visitors alike. We are looking for a highly organized and diligent Facilities Operations & Maintenance Coordinator to support day-to-day facility operations, vendor coordination, maintenance scheduling, and administrative support functions. This is an administrative-focused role, ideal for someone who thrives on managing logistics, supporting teams, and keeping things running behind the scenes.

Responsibilities

Administrative & Operations Support :

  • Provide daily administrative support to the Facilities Services team, including scheduling, data entry, and reporting.
  • Track and update facility records, supplier files, maintenance logs, and permit documentation.
  • Respond to internal service requests via ticketing systems, following up and ensuring timely closure.
  • Submit and monitor work orders in the Computerized Maintenance Management System (CMMS).
  • Maintain cleanliness and readiness of break rooms, amenity areas, and shared office spaces.
  • Order, receive, and organize office and facility supplies including consumables and vendor-delivered goods.

Vendor & Service Coordination :

  • Act as the point of contact for external vendors performing scheduled or ad hoc services.
  • Escort vendors on-site and ensure work is performed in compliance with safety and facility policies.
  • Support vendor performance tracking and assist with invoice submission and issue resolution.
  • Coordinate minor facilities activities such as room resets, signage updates, and general upkeep.
  • Maintenance Scheduling & Tracking :

  • Assist in creating and managing preventative maintenance (PM) schedules.
  • Enter and track PM and corrective work orders in CMMS, escalating delays as needed.
  • Monitor task completion metrics and ensure accurate documentation across all maintenance records.
  • Support compliance tracking for Fire Life Safety (FLS) systems and other scheduled inspections.
  • Communication & Collaboration :

  • Support cross-functional coordination between workplace teams, facilities partners, and external vendors.
  • Draft and distribute service updates, schedules, and notices as needed.
  • Participate in team meetings, providing updates on service tickets, supplies, and vendor activities.
  • Assist in light research, audits, and administrative projects in support of facility improvement initiatives.
  • Minimum Qualifications

  • 2+ years in an administrative, facilities, or workplace support role.
  • Experience working with ticketing or maintenance systems (e.g., ServiceChannel or CMMS).
  • Preferred Qualifications

  • Strong organizational and time management skills; able to manage multiple tasks efficiently.
  • Excellent communication skills written, verbal, and interpersonal.
  • Comfortable using iOS / macOS and productivity tools (e.g., Mail, Calendar, Pages, Numbers, Excel).
  • Proactive, detail-focused, and conscientious with a strong customer service approach.
  • Familiarity with basic facility systems (HVAC, lighting, conference room tech).
  • Previous experience supporting vendors, technicians, or internal service teams.
  • Ability to read or interpret basic building layouts or maintenance documentation.
  • Pay & Benefits

    At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $25.60 and $38.40 / hr, and your base pay will depend on your skills, qualifications, experience, and location. Apple employees also have the opportunity to become an Apple shareholder through participation in Apple's discretionary employee stock programs.
