OVERVIEW
This position primarily supports the shipping and receiving department by managing front-desk operations and coordinating logistics activities. Key responsibilities include monitoring and directing incoming / outgoing traffic at the window, scheduling and tracking appointments, processing shipments, creating documentation (like pick tickets and bills of lading), handling data entry, scanning, filing, and occasionally processing checks or cash.
RESPONSIBILITIES AND RESULTS
- Attending the window : knowing who is coming and going, that people are appropriately signed in, ensuring that unauthorized people are not entering the dock, directing drivers to the correct dock door, signing out trucks (refer to the operating procedures) etc.
- Scheduling appointments : logging appointments as received from customer-arranged and PFI-arranged dispatches.
- Tending the Schedule : knowing who is here, who is late and taking proper action (calling the truckline or PFI traffic), how many trucks are left to show, marking the schedule accordingly.
- Shipping out product : verify, adjust, and ship out product and correct pallet numbers, in the computer (refer to the operating procedures). ONGOING THROUGH DAY
- Copying, scanning and emails scanning copies and emailing for and / or to the appropriate person(s). ONGOING THROUGH DAY
- Pick tickets and bills of ladings : creating pick tickets and BOL for orders shipping (refer to the operating procedures)
- Data entry- Entering incoming products into the database systems
- Filing- Filing off all paperwork in the appropriate locations
- Handling of Checks and cash checks / cash received from carriers or customers process for finance
- Maintains knowledge of Peterson Farms policies in order to respond to employee questions and / or supervisor / manager requests.
- Utilizes personal computer (PC) and keyboard / mouse while performing functions of position.
- Other duties as assigned.
QUALIFICATIONS
Education
High school diploma or equivalent preferred.Work Experience
Six months experience in administrative role, utilizing communication skills preferred.Skills and Knowledge
Proficient using PC, via keyboard / mouse, and various software applications (i.e., Microsoft Office Suite, Crystal Reports and a warehouse inventory management system).Demonstrated ability to maintain integrity and privacy of confidential information.Ability to multi-task.Ability to work well under pressure and quickly assess and respond appropriately to questions.Ability to adapt to change and learn quickly.Good organizational skills.Excellent attention to detail.Excellent communication skills.High level of accuracy.Ability to work as contributing member within the team.Supervisory Responsibilities
