Executive Assistant & Process Coordinator
Position Overview
We are seeking a highly organized and versatile Executive Assistant & Process Coordinator to provide direct support to the CEO, President and COO. This role blends high-level executive assistance with operational and people-focused responsibilities. The ideal candidate will excel at managing administrative priorities, coordinating communications, supporting company operations, and contributing to the design and implementation of organizational processes.
Key Responsibilities
Executive Support
- Provide comprehensive administrative support to the CEO, President and COO .
- Manage calendars, coordinate schedules, and organize meetings, including preparing agendas, materials, and minutes.
- Draft, edit, and manage company communications, including presentations, reports, and correspondence.
- Coordinate travel, logistics , and expense reporting as needed.
Operations & Facilities
Manage company fleet vehicles, including maintenance schedules, registrations, and usage records.Facilitate company licensing, permitting, and compliance documentation.Oversee facilities coordination, including vendor relations, office maintenance, and supply management.Maintain accurate company records and organized filing systems.People & HR Administration
Provide light HR administrative support, including onboarding and offboarding assistance , maintaining employee safety records, and coordinating training schedules.Support internal communications to ensure alignment across departments.Assist with employee engagement activities and company culture initiatives.Process Coordination & Improvement
Collaborate with the COO, Process Manager and Department Heads on process design, documentation, and implementation to improve efficiency and effectiveness.Maintain and update Standard Operating Procedures (SOPs) and company workflows.Track and evaluate process outcomes, recommending adjustments as needed.Support communication and training efforts during process rollouts.Qualifications
Prior experience as an Executive Assistant, Operations Coordinator, or in a similar support role.Strong organizational and time-management skills with the ability to juggle multiple priorities.Excellent communication skills, both written and verbal, with experience in preparing professional presentations and reports.Familiarity with HR administration, compliance, or facilities coordination preferred.Proficiency with office productivity tools (MS Office, project management platforms, communication tools).Demonstrated discretion, professionalism, and ability to handle sensitive information.Proactive problem-solving and collaboration skills with a continuous improvement mindset.Key Competencies
