Under the direction of the Accounting Administrator I, Supervisor of the Travel Claim Unit, the Associate Accounting Analyst (AAA) is responsible for the monthly reconciliation, analysis, and compliance of the department’s Virtual Card Number (VCN) transactions.

The AAA performs key accounting duties, including reviewing, auditing, and analyzing financial reports, credit card statements, and invoices related to the Virtual Card Account (VCA). The AAA ensures the accuracy of accounting records and financial reporting while ensuring compliance with relevant policies, guidelines, and internal controls. Additionally, the AAA is responsible for the timely submission of Office Revolving Fund (ORF) payments to U.S. Bank to avoid delays or late penalties and for compiling and submitting necessary backup documentation to the State Controller's Office to replenish the ORF. The position also involves preparing monthly and quarterly financial reports related to VCA activity, tracking and resolving discrepancies, and monitoring unauthorized VCN charges. In addition, the AAA will assist in training and supporting VCN users. This role requires a solid understanding of California's governmental accounting practices and policies, particularly those related to travel and virtual card usage.
