Community Investment Administrative Assistant
The Community Investment Administrative Assistant is responsible for the coordination and administration of daily and long-term project support for the Community Investment Manager and Economic Development team members within the Community Planning and Economic Development (CPED) department.
Examples of duties include :
- Meeting coordination and note-taking for the CPED Director and Economic Development team.
- Ensuring CPED Director and Cl Manager's calendars are updated.
- Supporting the Economic Development team with board and committee agenda reports, meeting notices, and any mailings that are required.
- Assisting in facilitating community events, special projects, programs, and activities.
- Assisting with initial department budget preparation and any follow-up.
- Assisting the development coordinators with follow-up to the public and developers with program application requirements and revisions to documentation.
- Assisting the development team with coordination of property sale and acquisition transactions.
- Coordinating internal and external communications on behalf of the division manager, as directed.
- Responding to and resolving citizen and business concerns and questions; or directing them to appropriate staff.
- Overseeing the development and implementation of team-related technologies.
- Assisting team with keeping policy and procedural manuals up to date on an annual basis.
- Maintaining the system of filing and organization of division and team documents, minutes, notes, and original contracts.
- Performing other related duties, as assigned.
Essential qualifications :
Minimum of three (3) years of direct administrative experience or related field required.Strong, clear communicator and excellent interpersonal skills; proven ability to effectively and positively communicate with the public and all levels within the organization.Demonstrates a sense of excellence, prioritizes well, shows energy, responds to opportunities, instills excellence in others, and meets deadlines.Previous experience with preparing reports, researching information, gathering, analyzing, and interpreting data. Microsoft Teams and Adobe Suite experience is required.Strong organizational and multi-tasking skills.Acceptable training and experience :
