Overview

The Department Assistant is responsible for providing a wide range of administrative and office management services for a large department. The scope of responsibilities includes processing, maintaining, and routing departmental paperwork, maintaining the calendar, and assisting with meetings. In addition, redirecting calls, disseminating correspondence, scheduling meetings, etc.
Responsibilities
- Provide a wide range of administrative and office management services for a large department, including processing, maintaining, and routing departmental paperwork, maintaining the calendar, and assisting with meetings. - Actively and consistently support all efforts to simplify and enhance the customer experience.
- Analyze and coordinate daily department activities to achieve established goals.
- Maintain department calendar and ensure deadlines are met.
- Prepare meeting agenda, schedule department meetings and distribute minutes.
- May assist in budget preparation and expense management activities.
- Assist the department staff in scheduling conference calls and making travel arrangements.
- Respond to work requests from department staff in a timely and accurate manner.
- Assist department staff in preparing and maintaining meeting materials, business presentations and other department files.
- Provide general administrative and office management support.
- Perform data collection, analysis and reporting to Manager for decision making purposes.
- Draft letters, correspondence, memos, charts, documents, tables, graphs, and plans as requested.
- May assist with coordinating events within the department or wider company.
- Maintain positive working relationships with department staff and customers.
- Maintain all department information confidential and secure.
- Adhere to company policies and regulations.
- Perform other duties as requested by supervisor.
Required Skills / Abilities and Knowledge
Ability to read, write, speak and understand English.Ability to maintain confidentiality of information.Ability to prioritize and organize effectively.Ability to type with speed and accuracy.Ability to use personal computer and software applications (i.e. word processing, spreadsheet, etc.).Ability to work independently.Knowledge of general office procedures.Required Education
High School Diploma or equivalent
Required Related Work Experience
Administrative / secretarial work experience — 3 yearsWorking Conditions
