Client Care Administrator

Summary

We are seeking a detail-oriented and compassionate Client Care Administrator to support the daily operations of our independent private practice. This role involves managing client inquiries, providing administrative support to our providers, and ensuring a welcoming and efficient environment for our clients.

Work Schedule

20-30 hours per week, with a flexible hybrid schedule that includes in-person hours at our Boulder office location.

Pay & Important Information

Administrative rate of $22-$27 / hr, commensurate with experience and qualifications.

Responsibilities

Serve as the first point of contact for prospective clients via phone, email, and in-person, providing information about our services and answering inquiries.

Manage client appointments and collect necessary information.

Maintain and update client records in our Electronic Health Record (EHR) system with accuracy and confidentiality.

Coordinate communication between clients and providers, including appointment scheduling, rescheduling, and cancellations.

Coordinate care with outside agencies and vendors to support our providers and their caseloads.

Support providers with administrative tasks to allow them to focus on client care.

Assist with insurance verification.

Assist with billing and invoicing tasks as needed.

Maintain a professional and welcoming reception area.

Adhere to all HIPAA regulations and maintain strict client confidentiality.

Participate in team meetings as requested.

Educational Requirements

Minimum Required Education : Bachelor's degree in a mental health-related field.

Psychology, social work, counseling, and other mental health degrees are encouraged to apply.

Candidates pursuing a Master's level education in a mental health-related field are

strongly

preferred.

Preferred Experience : Previous experience in an administrative role, preferably in a healthcare or mental health setting. Familiarity with EHR systems is a plus.

Skills and Qualifications

Excellent verbal and written communication skills.

Strong organizational and time-management abilities.

Exceptional attention to detail and accuracy.

Proficiency in Microsoft Office and Google applications.

Understanding of faxing and phone applications such as Spruce.

Ability to work independently and as part of a team.

Strong problem-solving skills and the ability to take initiative.

Demonstrated ability to maintain confidentiality and handle sensitive information.

A positive and empathetic demeanor with a genuine interest in helping others.

As our Client Care Administrator, you'll be key in making sure our prescribers, neuropsychological evaluators, and therapists can really focus on giving our new and existing clients the care they deserve. About You

We're looking for someone self-sufficient who can and will ask questions and who can make informed decisions when necessary. We want candidates who truly love the work we do and can generate positive regard and care for our clients. Additionally, we are looking for candidates with experience and / or education in the mental health field to be able to determine if a client can benefit from additional services we offer outside of their stated need. We expect you to be able to effectively evaluate if a client's stated need can be met in our practice, and if not, to be able to refer out.
