Grants Specialist
Under the direction of the Financial Manager, this 30-hour per week position with a rate of up to $17.20 / hr depending on education and experience provides essential support in administering and managing grant programs. The Grants Specialist ensures the accuracy and timely processing of grant documentation, assists applicants and recipients with program requirements, and maintains compliance through careful review and recordkeeping. The Specialist serves as a key point of contact for external customers, offering clear guidance and responsive service to ensure smooth program operations. Responsibilities include preparing and distributing grant forms, organizing and digitizing records, verifying receipts and supporting documentation for compliance, and assisting with reporting requirements. The role also supports internal operations by assisting staff on grant system workflows, providing technical support, and coordinating with suppliers and external partners on program and office details.
Minimum Qualifications : Bachelor's degree or four years of technical clerical, administrative, secretarial, or general office work; or an equivalent combination of education and experience.
Preferred Qualifications : Experience supporting grants, contracts, or program administration in a government, nonprofit, or higher education setting. Experience with Foundant Technologies Grant Lifecycle Manager. Familiarity with state or federal grant regulations, compliance standards, and reporting requirements. Familiarity with state purchasing rules and regulations. Demonstrated proficiency in utilizing Smartsheet for project and budget tracking. Demonstrated ability in utilizing Adobe Acrobat Pro to create, edit, and manage complex PDF documents with a high level of accuracy and efficiency. Demonstrated ability to provide excellent customer service and build strong, collaborative relationships with applicants, awardees, and internal stakeholders. Demonstrated ability to effectively and independently use the Microsoft Office Suite and Office 365 tools - including Word, Excel, Outlook, Teams, SharePoint and OneDrive - to support day-to-day operations and cross-functional collaboration.
Knowledge and Skills : Knowledge of spelling, punctuation, and business English. Knowledge of business mathematics. Knowledge of modern office methods and procedures. Knowledge of establishing and maintaining records. Knowledge of the major policies and procedures governing assigned programs. Ability to establish and maintain effective working relationships with internal and external partners, customers, and staff. Ability to perform confidential work and maintain confidentiality. Ability to interpret and respond to inquiries at various levels of complexity in accordance with agency policy, in written or oral form.
