Fleet Services Coordinator III
The Fleet Services Coordinator III assists Fleet Services Managers, Directors and Vice President as needed to support all necessary administrative functions for the department. Responsibilities include scanning documents for various purposes, maintaining bulk fuel inventory reconciliation, management of EOL repair events and emergency roadside events, approving various invoices in workflow including fuel & lubricants, parts, and tires related expenses, recording monthly meter readings for forklifts, maintaining records for change in equipment from road to city, updating ABF used equipment website, and auditing and maintaining equipment master list. Other duties and projects include assisting in management of fuel additive usage during winter months, reconciling and managing various utilities and municipal billing for Fleet Services facilities, assisting field personnel with all functions of Maintenance Management System, assisting with retail fuel purchase compliance, data collection and research for various equipment and maintenance cost reports and projects, onboarding and recording all new equipment purchased, assisting in sale of all used equipment, assisting with network and hardware issues involving fuel tank gauges and dispensers, assisting with communication to field personnel of various equipment / maintenance related issues, assisting with travel and meeting arrangements, validating and reconciling Tire, Parts, and Tires inventories, and managing and maintaining any Parts, Tires and Labor POs. Work exceptions for equipment with incorrect mileage / hours and / or fuel usage exceptions, updating the status of equipment and coordinating these status changes with Tax Department, distributing requests for quotes and assisting with maintenance of new equipment specifications, and reconciling and correcting various accounting reports for equipment and service center accuracy are also part of the role.
Requirements include an Associate's Degree, preferred, relevant experience considered in lieu of education, 1 year clerical experience, proficient in Microsoft Office Suite and Service Now software, knowledge of equipment and maintenance in trucking operations, and basic knowledge of maintenance standard operating procedures in trucking operations. Skills required include accuracy and attention to detail, document management, effective communications, managing multiple priorities, operational functions, problem solving, producing results, and service excellence. Generally, this is an hourly position paid weekly, with work hours from 8 : 00 am to 5 : 00 pm with occasional irregular hours depending on workload.
