Event Planning Coordinator

Nestled on the shores of Lady Bird Lake, in the heart of downtown Austin is Hyatt Regency Austin, where caring for people to be their best is our purpose and the foundation of all that we do! We are in search of a highly motivated Events Coordinator, to join our team, assisting with the seamless execution of events at Hyatt Regency Austin. The Event Coordinator will provide administrative support to the Event Planning Managers. This will include but not be limited to inquiry management, creating banquet event orders and billing. The Event Coordinator is also responsible for planning and servicing sales groups. This includes menu planning, agenda setting and hotel meeting services. Responsibilities also include contract review and facilitating communication before, during and post-event with external clients and pertinent hotel staff. This communication includes obtaining and detailing all food, beverage, setup-up and A / V needs, managing room blocks and pick up, billing instructions and final review to ensure a high level of service. The Event Coordinator is the on-site contact and is responsible for the smooth execution of groups and events. The ideal candidate is highly motivated, has a friendly demeanor, and will feel comfortable interacting directly with guests over the phone or in person. They will have the ability to learn new computer programs, multitask and complete projects in a timely manner. This person should demonstrate exceptional customer service and problem-solving skills and will be ready to accept additional responsibilities when needed. The Event Coordinator is critical to cross-departmental communication and ensuring events are successful with the highest of guest satisfaction.

Qualifications :

  • A true desire to satisfy the needs of others in a fast-paced environment
  • Previous administrative or applicable experience preferred
  • Refined verbal and written communication skills
  • Proficient knowledge of computer applications
  • Prior customer service experience required
  • A degree in hospitality or equivalent experience is plus
  • Highly organized and detail oriented with ability to multi-task
