Summary :

We are seeking a highly organized and proactive Department Coordinator to support our Vehicle Development and Engineering teams. This role will report directly to a department leader or Executive Assistant and collaborate closely with cross-functional partners across engineering, product, operations, and program management.

Responsibilities :

  • Manage complex calendars and coordinate meetings across multiple functions and time zones, ensuring priorities are efficiently managed.
  • Support department operations, including scheduling, documentation, and workflow tracking.
  • Plan and coordinate team events, workshops, and offsites that promote collaboration and engagement.
  • Assist with onboarding new team members and ensuring a smooth integration into the organization.
  • Handle domestic and international travel coordination, expense reports, and meeting logistics.
  • Take detailed meeting notes, track action items, and follow up to ensure timely completion.
  • Assist with light project coordination from planning and progress tracking to evaluation.
  • Serve as a key point of contact for internal teams and external partners, maintaining a professional and service-oriented approach.
  • Proactively identify process improvements and anticipate team needs to ensure seamless operations.
  • Maintain strict confidentiality when handling sensitive project or personnel information.
  • Support other administrative or operational tasks as required.

Qualifications :

  • 3+ years of administrative, operational, or coordination experience preferably within an engineering, manufacturing, or product development environment.
  • Bachelor's degree preferred or equivalent experience in an administrative, operations, or coordination capacity will be considered.
  • Exceptional organizational and multitasking abilities, with strong attention to detail.
  • Excellent written and verbal communication skills and the ability to interact effectively with team members at all levels.
  • Demonstrated ability to work proactively, anticipate needs, and adapt quickly to changing priorities.
  • High degree of professionalism, integrity, and discretion when handling confidential information.
  • Strong interpersonal skills and a collaborative, team-oriented mindset.
  • Proficiency with productivity tools such as Google Workspace, Microsoft Office Suite, and Apple productivity tools.
  • Experience coordinating domestic and international travel and processing expense reports.
  • A passion for innovation and interest in the future of mobility or automotive technology.
  • Preferred Qualifications

  • Experience supporting engineering, R&D, or manufacturing teams in the automotive or mobility industry.
  • Familiarity with tools such as Concur, SAP Ariba, Navan, or similar systems.
  • Experience working with cross-functional stakeholders including program management, supply chain, and product development teams.
  • Prior exposure to a high-growth, technology-driven organization.
  • California pay range
