The Office Administrator performs all general administrative duties as well as a wide variety of project support tasks at a professional level for the Operations team, and actively participates in the day-to-day operations at the field office.
The primary responsibilities for this role will include performing administrative support functions, such as the following :
- Oversee and support all administrative duties in the field office for the Operations team.
- Prepare reports, presentation materials and routine correspondence with exceptional attention to detail, accuracy and confidentiality.
- Compose and prepare confidential correspondence, reports and other complex documents (using Microsoft Office Suite applications).
- Compose internal and external correspondence and create / edit PowerPoint presentations.
- Engage in sensitive and confidential matters while protecting the security of the information.
- Requires discretion and use of judgment. May have regular contact with client executives and government officials.
- Identify opportunities for processes and office management improvements.
- Coordination of work flow and all relevant paperwork to prepare for meetings, interviews and presentations.
- Manage / coordinate business calendar(s), including scheduling appointments, arranging meetings / interviews, anticipating needs and prioritizing projects.
- Coordinate and assist with planning events and providing assistance during the event.
- Manage the overall day-to-day office operations directly with the site manager and schedule maintenance needs or repairs as necessary.
- Maintain and oversee all office equipment such as copiers, printers, plotters, furniture, etc. and ensure they stay in good working condition.
- Manage office supplies inventory and place orders as necessary.
- Perform receptionist duties, greet visitors, and screen incoming calls and correspondence and respond independently when possible.
- Receive and sort incoming mail and deliveries, and manage outgoing mail.
- Perform additional assignments per supervisor's direction.
Required Qualifications & Personal Skills
A minimum of 5 years' experience in an office manager and / or administrative support role.Must be proficient and have excellent computer skills using Microsoft Word, Excel, PowerPoint and Outlook.Prior knowledge and ability to use cloud-based business systems such as Vista, by Viewpoint preferred.Ability to write / create routine reports, charts, presentations and correspondence.Ability to effectively present information to management team.Ability to maintain strict confidentiality.Excellent communication and interpersonal skills.Strong organizational and time management skills.Ability to prioritize and multi-task.Deadline and detail-oriented.Ability to interface with employees, customers and clients professionally.Must be flexible and able to adapt to quickly changing priorities.Proficient self-starter, multi-tasker, and problem-solver with the ability to work independently and as a team member.Ability to manage projects and multiple deadlines.Physical Demands (In Office) :
