  • We’re looking for a Project Admin who knows their way around project coordination, PM software, large-scale estimates, and the realities of working with skilled field crews.
  • The ideal candidate does not shy away from tough conversations or folks with rough edges.
  • Someone thick-skinned, practical, and able to keep projects on track while communicating effectively across all levels of the team will do well.  Reporting to the CEO and working with him daily, our PA plays a critical role in the company’s success.  Your primary goal will be to estimate projects competitively yet accurately (after being trained), and then once awarded, ensure they are completed on-time and on-budget.
  • The right person for this position is a strong leader with an exacting attention to detail and a great memory for names and numbers.
  • She / They / He will feel comfortable spending + / - 6 hours per day on the phone communicating with staff, clients, other company representatives, vendors, our fleet supervisor, and CEO.  ABOUT THE COMPANY Since 1980, The Professional Tree Care Company has been trusted for tree services throughout Northern California.
  • Based in West Berkeley, we service commercial, residential, and public works projects from Mendocino to Monterey, and from San Francisco to Sacramento.
  • We are known for excellent customer service, and the ability to remove enormous trees using large cranes and heavy equipment.

  • We recycle material removed from job sites at our own Green Waste Recycle Yard (.com), mill logs into boards and create organic mulch from wood chips.
  • We also have the staff, equipment, resources, and experience to perform tree services at any scale.  ESSENTIAL FUNCTIONS / RESPONSIBILITES -Meet daily at 5 :

    • 00 a.m. with our CEO and Field Crew Manager -Manage project execution from award to completion, ensuring budgets, deadlines, and client expectations are met -Using data provided by your team, create detailed cost estimates, project schedules, and proposal documents -Oversee research staff who identify and track commercial tree care RFPs (Requests for Proposals), and meet with your Bid Coordinators daily -Work with accounting staff to ensure payment is billed / received project milestones in our contract -Coordinate with subcontractors, clients, and stakeholders to ensure accurate pricing and efficient delivery of materials, equipment and / or services -Maintain organized records of proposals, bid results, and project performance including job costing and post- mortems WHY YOU’RE SUCH A GREAT FIT FOR THIS ROLE : REQUIREMENTS. -Experience.  You’ve got proven experience in project administrator or manager, preferably with large-scale, commercial projects in the trades : general contractor, commercial plumbing, solar, electrical, HVAC or other contractor -Great with numbers.  You love numbers and have strong analytical skills for creating estimates, budgets and timelines -A beloved manager and colleague  who has   honed their skills at keeping themselves and others accountable, preferably using a software system such as MS-Planner, Kanban, Monday.com, etc.  -Diplomatic with a high E.Q.   Resilient and confident communicator with “thick skin” for navigating demanding field or personal interactions. You also know what E.Q. is and can explain it in your interview -Software savvy with excellent organizational skills.   Your notes, to-do list, and details about projects are in the cloud and may be reached 24 / 7.
    • You’re proficient in MS-Project, Asana, Excel, etc. -An early riser.  The first meeting of your day begins at 5 :

    • 00 a.m. so you should be on the computer by 4 : 45 a.m.  -You want to stay.   We hire folks who seek a work-home.
    • Many of our employees have been with us for 10+ years, so we’d prefer to hire someone who wants a work-home for the long-term -Optimistic and open to change.   We are looking for new team members embrace change, keep learning, and tackle challenges with creative, can-do solutions -You’re local.  You live within a 40-minute commute of Berkeley, CA, and are   authorized to work in the U.S. without sponsorship.
    • If you do NOT CURRENTLY LIVE NEAR BERKELEY, please let us know 1) when you’ll be moving to within a 40-minute drive, 2) if you plan to rent a spot near us during the week, 3) or how you otherwise plan to be on site 40+ hours per week starting at 5 :

    • 00 a.m.  Bonus points for : -PMP certification -Experience estimating large-scale, commercial projects (hospitals, roads, solar arrays, etc.) -Experience with large, commercial or municipal contracts -Having a college degree is a plus, especially in project management, construction management, business administration, or coursework on leadership -Being a computer savvy, a decent writer, and great at verbal communication, able to keep most of your work in the cloud -Having successfully managed a team of 3 or more people including at least one who can speak to your leadership abilities and would be willing to serve as your professional reference COMPENSATION AND FURTHER DETAILS This is a full-time / permanent position that comes with  medical, dental, and optical insurance paid at One Hundred Percent (100%)  after 90 days of employment.
    • The person who is accepts this role must be thoroughly satisfied with a salary of  $78,000.00 to $90,000.00
