We are looking for an experienced Billing Manager to oversee and optimize our billing operations in Waco, Texas. This leadership role is pivotal in ensuring accuracy, efficiency, and compliance across multiple billing cycles while managing a remote team of bookkeeping professionals. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and excel in conflict resolution.
This is a remote position but will have to train in Waco for 3 of the first 4 weeks and then will occasionally make trip to Waco for meetings or new hire training of team members
Responsibilities :
- Supervise four distinct billing cycles, ensuring timely and accurate invoicing for private pay, Medicaid, VA, and third-party payors.
- Standardize invoicing workflows and payment application processes across all locations.
- Lead and mentor a remote team of 12+ bookkeepers, providing guidance on invoice generation, payment application, and account reconciliation.
- Conduct regular performance evaluations, team meetings, and one-on-one check-ins to drive accountability and excellence.
- Collaborate with field leadership and corporate accounting teams to resolve billing discrepancies and implement corrective measures.
- Oversee month-end close procedures, including bank reconciliations and general ledger account reviews.
- Develop and distribute billing performance metrics to leadership for informed decision-making.
- Streamline billing workflows to enhance efficiency and scalability while ensuring compliance with state and federal regulations.
- Manage system transitions or integrations between accounting and billing platforms, resolving technical issues as needed.
- Partner with IT and vendors to address system errors and improve data management processes.
- Minimum of 3 years of experience in billing, accounts receivable, or bookkeeping leadership roles, preferably in multi-location settings.
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field.
- Proven expertise in managing remote teams of 5+ in deadline-driven environments.
- Strong organizational skills with the ability to oversee complex multi-cycle billing processes.
- Exceptional analytical and communication skills for effective conflict resolution and cross-functional collaboration.
- Familiarity with accounting systems and advanced Excel functions such as pivot tables and lookups.
- Experience with high-volume invoicing and accounts receivable operations.
- Knowledge of financial regulations and internal control procedures to ensure compliance.
