Administrative Professional 1

Relieves Compliance Unit staff of routine administrative duties; composes correspondence and other documents related to Ohio Revised Code (ORC) Chapter 119 hearings (e.g., letters, notices, etc.) from established templates for review by supervisor and / or Adjudication Coordinators, contacts licensees, witnesses, hearings officers, court reporters, experts, etc. for scheduling interviews, hearings and depositions.

Maintains record of certified mail and other time sensitive documents, case and discipline files associated with administrative hearings pursuant to Chapter 119 ORC.

Performs routine clerical duties with respect to processing complaints of alleged wrong-doing against nurses that are received in the Compliance Unit; gathers and organizes data and information, checks complaint forms for completeness and accuracy, requests missing information and clarifies discrepancies when needed, enters information from complaint forms and codes data into database, manages clerical tasks for investigatory records (sets up initial file, records / consolidates information, closes cases as directed, etc.), retrieves, prints, and updates information at supervisor's direction from / on the licensure database, maintains accurate records, etc. Reviews all disciplinary records (e.g., notices of opportunity for hearings, board actions, etc.) and enters data into appropriate databases including violations, current Board action, etc.; compiles information for use by supervisor in preparing reports.

Assists in both Board meeting preparation and follow-up (e.g., copies and compiles material, sends out Board orders, prepares envelopes for certified mail, etc.). Produces routine correspondence, forms, and labels, retrieves information and statistics for use in creating reports as directed, obtains information from other state agencies as needed, responds to inquiries and provides information to other agencies and boards, updates and maintains computerized records for addresses and contact person for hospitals, police departments, other boards of nursing, etc. Performs routine clerical tasks; answers phones, provides basic information regarding Unit matters, returns calls to the public at direction of Supervising Attorney, Chief of Enforcement, or Chief Legal Counsel, receives and sorts mail, processes regular and certified mail (e.g. addresses envelopes, applies postage, completes certified forms, sends out, etc.), coordinates special mailings, etc. Assists co-workers during peak periods of work loads, vacations and illnesses; performs other duties as assigned.

Qualifications

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology. -Or equivalent of Minimum Class Qualifications For Employment noted above Job Skills : Administrative Support / Services
