Description :

The Administrative Assistant serves as a member of the Leman Academy of Excellence to help meet the needs of the community of the school. The Administrative Assistant serves visitors to Leman Academy by greeting, welcoming, and directing them appropriately; will notify appropriate Administrative Team members or faculty and staff of visitor arrival; maintains security and telecommunications system. Will supply appropriate information regarding Leman Academy to our families, community, and surrounding groups of interest, and serve in any role that supports the effective functioning of the school day.

Summary of Job Description To perform such actions as required to establish the warm, welcoming, and effective functioning of a given school day as the first impression of our school; provide the necessary administrative support required to ensure the smooth, efficient operation of the K-6 school office.

Responsibilities :

  • Answer and manage incoming calls / take and relay messages.
  • Receive and interact professionally with parents, students, and visitors.
  • Greet all persons entering the school office of Leman Academy by name if possible.
  • All parents / visitors must submit their drivers license in order to enter the school campus.
  • Monitor visitor access and maintain security awareness.
  • Direct persons to the correct destination.
  • Provide general administrative and clerical support, as assigned.
  • Prepare and edit correspondence, communications, presentations, reports, and other documents.
  • Office Manager with annual enrollment process to include correspondence and maintenance of the student enrollment database / files.
  • File and retrieve documents and reference materials.
  • Collect fees and issue receipts to parents for extra-curricular activities.
  • Assist staff with copying and other class preparation.
  • Assist with scheduling appointments.
  • Monitor and maintain office equipment.
  • Oversee and control inventory relevant to office space.
  • Maintain appearance and organization of the front office.
  • Qualifications :

  • Minimum of a high school diploma or its equivalent, 1 year post secondary education preferred.
  • CBI Fingerprint Clearance / Background and Criminal History Clearance.
  • First Aid and CPR Certification.
  • Bilingual preferred.
  • 2 years prior experience working in a school with a working knowledge of school organization and procedures or equivalent professional experience in an office setting.
  • Strong verbal, written, and interpersonal communication skills to positively impact school community with an ability to build strong relationships.
  • Ability to communicate effectively and professionally with scholars, parents, co-workers, and the public at large.
  • Strong commitment to supporting the principles of excellence in education.
  • Ability to manage conflict resolution with an attitude of humility and service.
  • Ability to work independently prioritizing tasks to meet deadlines while maintaining a high degree of accuracy and detail.
  • Working knowledge of Google Suite, Microsoft Office Suite, and familiarity with other related software programs.
  • Working knowledge of Information Technology related to Student Accountability. Knowledge of software programs such as WorkDay or PowerSchool.
  • Ability to operate office equipment as required in assignment; i.e. fax machine, copier, computer, etc.
  • Ability to set up and use an efficient filing system.

  • Salary :

  • Range : $20.05 - $33.48 per hour - depending on experience
  • Leman Academy offers a very competitive benefits package and overall compensation will be commensurate with talent, experience, and education.
  • As a Leman Academy of Excellence employee, you shall be afforded benefits if you work thirty (30) hours or more each week, all as prescribed in the Personnel Policies of the School, and such revision thereof as are made and approved by the Board of Directors of the School all of which have been adopted by the School. Benefits eligibility and enrollment for
  • Employees working thirty (30) hours or more per week include but are not limited to :
  • Voluntary medical insurance, vision plan, and dental plan; enrollment for Employees beginning employment are effective the first of the month following start date of full time employment unless agreed upon by administration.
  • Life Insurance, Accidental Death and Dismemberment, Long and Short Term Disability benefits are effective the first day of the month following start date of full time employment.
  • Leman is a PERA Employer.
  • If the Employee is terminated, the Employee will be covered with all benefits
  • described above until the last day of the month in which they terminate.
  • Benefits eligibility and enrollment continue for current admin / Employees who sign a new Agreement. Retirement plan and long-term disability eligibility and enrollment are based on the beginning date of employment in the initial Agreement.
  • Responsibilities :

    Maintain files on personnel, including evaluations, other confidential information including emergency contacts and crisis management process.

    Liaison with district community relations alerting the district to crisis situations, good news, student celebrations, etc.

    May prepare and distribute a variety of regular and special reports for administration, the district, and the state.

    May develop, evaluate, and cross-train the work of support clerical personnel and make routine decisions.

    Perform other related duties as assigned or requested.

    Draft and produce letters, memoranda, reports, special projects; such as newsletters, handbooks, and other related materials and documents in an accurate and timely manner. Deal with matters of a highly confidential nature.
