Job Summary :

The Mailroom Clerk is responsible for overseeing daily operations within the mailroom and related services. This includes managing contracted services such as copy, courier, managed print, hospitality, imaging, and mail. The role requires strong customer service, communication skills, and the ability to lead a small to medium-sized team while ensuring compliance with company procedures and government regulations. Professional attire is required, and occasional driving using a personal vehicle may be necessary.

Key Responsibilities :

• Supervise employees and operations of the mailroom and related services.
• Ensure contract compliance across services including copy, courier, imaging, and mail.
• Train employees and maintain corporate quality systems, including ISO registration.
• Participate in talent selection, onboarding, and employee retention.
• Conduct performance management and employee counseling.
• Maintain effective communication through team meetings and daily interactions.
• Enforce safety, work, and housekeeping standards.
• Evaluate and improve safety processes and chemical handling precautions.
• Participate in emergency response teams (hazmat, medical, evacuation).
• Initiate near miss reports and complete accident / incident investigations.
• Conduct audits for compliance with procedures and regulations.
• Develop and maintain training documents and SOPs.
• Schedule workload and staff to maximize safety, quality, and productivity.
• Maintain documentation including unit records and productivity reports.
• Monitor labor and materials to control costs.
• Lead and participate in process improvement initiatives.
• Validate job responsibilities through periodic site walkthroughs (e.g., meeting room setups).
• Adhere to company standards including lifting up to 50 lbs.
