Team Administrator Sweden
This is a key role supporting the Regional Lead and team, providing an efficient and responsive level of support. The role will be based in Stockholm and responsible for team administration within the region ensuring to provide excellent internal and external customer service.
Key Responsibilities
Provide overall team administrative support within the region
Support the Office Manager where needed
Complex diary management proactively organising internal and external meetings, ensuring timely and accurate communication to all
Arranging travel bookings, preparing detailed travel itineraries and arranging visas
Liaising with recruitment and HR team to assist with the onboarding of new team members, ensuring the relevant distribution lists are updated accordingly
Document preparation and formatting
Creating correspondence, reports and minutes
Liaising with the finance / billing admin team where necessary with regards to invoices and assisting with enquiries
Ensuring the team complete business compliance items such as training and invoicing requirements
Point of contact for system enquires and providing training
Organising events, socials and activities
Ownership and administration of external and internal Teams' sites including monitoring usage, managing members, folders, documents, links, planners and providing best practice guidance
Supporting other administrators where necessary and providing holiday cover
Assisting with all other administrative duties as required.
Candidate Specification : Experience
Previous experience in a similar role
High level of IT competency, MS PowerPoint, Excel, Outlook and Word
Pro-active, diligent, flexible, reliable
Excellent multi-tasking skills
Proven ability to work to deadlines
Able to stay professional and calm under pressure
Must always maintain a high level of discretion and confidentiality
