Position Summary
The Health Information Technologist plays a key role in maintaining the accuracy and completeness of our electronic medical records (EMR) system. This position is responsible for reviewing, organizing, and entering medical information, ensuring that data from internal and external sources is accurate, secure, and accessible.
The ideal candidate is detail-oriented, familiar with healthcare documentation standards, and skilled at managing information across multiple providers and systems.
Essential Duties & Responsibilities Records Management
Collect, organize, and maintain patient health records (electronic and paper).
Prepare medical records for new and existing patients, including scanning and filing into the EMR.
Ensure records are accurate, up-to-date, and compliant with clinic standards.
Release of Information
Process requests for medical records from patients, providers, and legal entities in compliance with HIPAA and privacy laws.
Verify authorization forms and secure proper approvals before releasing records.
Document all releases within the patient’s chart.
Data Integrity & Quality Control
Perform regular audits to verify data accuracy and compliance.
Identify and correct missing or inconsistent information.
Report EMR system issues or discrepancies promptly.
Confidentiality & Compliance
Adhere strictly to HIPAA and all federal, state, and clinic privacy regulations.
Follow proper procedures for data access, security, and confidentiality agreements.
Communication & Collaboration
Act as a resource for physicians, nurses, and staff seeking access to patient records.
Assist patients with record-related questions or requests.
Coordinate with external organizations (e.g., insurance companies, law firms) for authorized record sharing.
Record Archiving
Archive inactive or old records per clinic policy.
Oversee secure destruction of outdated records following retention regulations.
Perform other related duties as assigned.
Education, Certifications & Licenses
Required :
High school diploma or equivalent.
Knowledge of HIPAA regulations and medical terminology .
Preferred :
Certification in Health Information Management (HIM) or Medical Records .
Experience
1–3 years of experience in a medical office, clinic, or health information management role.
Experience working with electronic medical records (EMR) required.
Prior experience with release of information requests preferred.
Skills & Abilities
Excellent organizational skills and attention to detail.
Strong verbal and written communication abilities.
Knowledge of healthcare privacy laws (HIPAA).
Proficiency with EMR software and medical records systems.
Ability to multitask , prioritize , and manage time efficiently.
Effective problem-solving skills, especially when resolving record discrepancies.
